This is an exciting opportunity to welcome a Senior Client Service Administrator to the team who will support the firm’s lead advisors. The attributes that we are looking for in a teammate include:

▪ Intake, screen, organize and process all that you are able, focus the advisor’s attention on the items that require his personal attention, and ensure that all activities are captured, scheduled, and completed.
▪ Stay apprised of client meetings and ongoing activities, keeping up to date on the advisor’s priorities and projects, goals, and timelines and what he wants/needs to do with each on an ongoing basis so that you can process, schedule, and oversee projects.
▪ Coordinate the advisor’s calendar availability; appropriately blocking time and coordinating commitments with the team.
▪ Efficiently and productively follow procedures for various business and life events for clients and prospects from beginning to end.
▪ Critical thinking and approaches in day-to-day client needs and communicate with advisor when appropriate.
▪ Respond to client questions and concerns regarding general account info, withdrawals, transfers, healthcare, Social Security, financial planning, and investments
▪ Service client accounts/portfolios, both in person, over the phone, and behind the scenes.
▪ Create and distribute general and individual informational mailings to clients
▪ Process client paperwork
▪ Follow systems to track and set up investment transfers
▪ Update contact management system
▪ Electronically file client statements, correspondence, agreements, and so forth
▪ Anticipate advisor's needs and handle them proactively
▪ Review statements provided by clients and input information in financial planning software
▪ Input updated values into appropriate planning software
▪ Audit Cash Flow summaries provided by clients/prospects
▪ Input and run analysis reports of prospects’ investments using financial planning software and additional preparation as needed
▪ Schedule and perform conference calls with prospects and third-party insurance and investment companies to obtain information about current insurance policies, annuities, and investment accounts
▪ Schedule and perform rollover conference calls with clients
▪ Take meeting notes and upload the debrief to client relationship management (CRM) system
▪ Create Meeting Summary letters for prospects and perform meeting follow up throughout meeting process
▪ Schedule and prepare for client meetings; debrief meetings; and perform necessary follow up

Qualifications for this role include:
- College degree is preferred but not required
- FINRA Series 7, 63, 65, 66, or SIE preferred but not required
- Minimum of 5 years of experience in an administrative or client service role in the financial services industry is required
- Minimum of 5 years of experience in a client-facing role is required
- Excellent communication and relationship management skills
- Strong computer desktop skills are required: Microsoft Office Suite (Excel, Outlook, Word, etc.)
- Superior organizational skills
- Technology-forward and internet savvy
- Ability to adapt
