About the Job
The Client Service Administrator is responsible for managing customer service functions related to order processing, sales material distribution, and product information. This role involves coordinating orders for inventory, managing shipments, and maintaining customer relationships.
Responsibilities include:
- Receive and process orders for caskets, cremation urns and other inventory. Enter orders into MAS-200
- system and coordinate with warehouses.
- Receive and process orders for sales supplies, catalogs, and other materials. Ensure appropriate materials shipments are billed using standard prices.
- Schedule Private Label delivery trucks for shipments to distributor customers. Ensure a minimum of 33units/full truckload is dispatched.
- Coordinate container orders with Import Specialist, obtain down payment and release order for placement with vendors.
- Communicate container status to all customers. Advise customer scheduled container shipment and delivery, process billing for container balances.
- Obtain and process new customer (Client Profile) information for establishing credit lines and payment terms.
- Process credit card and ACH payments as needed.
- Maintain distributor territory assignment maps.
- Supervisory Responsibilities: No direct supervisory responsibilities, however may occasionally provide direction to local warehouse and delivery personnel.
Required Skills/Abilities:
- Administrative and organizational experience.
- Basic accounting preferred
- Experience with customer service both in person and over the phone.
- Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
- Ability to write reports and correspondence. Ability to speak effectively before groups of customers or employees of organizations.
- Ability to calculate figures and amounts such as discounts, interest, commissions,
- percentages, area, and volume.
- Ability to apply common sense understanding to carry out instructions furnished in
- written, oral, or diagram form. Ability to deal with problems involving several variables in standardized situations.
- Basic knowledge of Spreadsheets, Word Processing and electronic mail programs (Excel, Word, Outlook).
Education Requirements:
- Minimum of a high school education in addition to 1-2 years in an administrative setting.
- Academic and professional training preferred.
