Responsibilities:Facilitate the servicing of existing clients
- Maintain and monitor Financial Advisor’s retention calendar, ensuring appropriate client contact, including but not limited to daily contact of existing clients.
- Maintain up-to-date status of client files as related to statements, postings and required documents and/or the updating of documents.
- Prepare materials for client reviews which may include LPL reports and Morningstar.
- Update client data sheets and risk assessment forms.
- Monitor accounts for unusual activities including but not limited to large redemptions, unusual purchases and name and address changes.
- Update any LPL account that becomes dormant or non- networked.
Support Business Development Efforts
- Prepare proposals and other materials as requested. File materials as required.
- Periodically examine sales materials to ensure that they are up-to-date and in adequate supply.
- Responsible for direct-mail activities as needed.
Establish New Accounts
- Follow established Onboarding procedures by preparing required documentation for opening new accounts. Review paperwork to ensure completeness, legibility, and accuracy. Scan and retain in client digital folders.
- Create new customer digital files that are organized, complete, chronological, and compliant with regulations.
- Add new accounts to the representative’s retention calendar and Outlook for ticklers pertaining to reviews, birthdays, and a one-time initial follow-up letter/phone call.
Accounting/Clerical Functions
- Process all new transactions, including those involving applications, checks, and routine service work on a daily basis.
- Maintain advertising compliance file.
- Maintain correspondence file.
Other Responsibilities:
- Welcome clients and visitors to the office and provide courteous service in person and over the telephone.
- Review pending issues on a daily basis to ensure that all matters are expeditiously handled.
- Process incoming and outgoing mail as directed.
- Perform other duties as assigned or requested by the Financial Advisor, or others as needed.
- Associates degree in Finance, Accounting, Business and/or similar field of education or 1-3 years previous work experience in a similar position required.
- Previous work experience in a financial institution and/or with financial institution products/services
- Exceptional interpersonal and communication skills (in person, phone & written) in order to communicate and relate effectively with clients, associates, vendors, etc.
- Strong analytical/critical thinking/problem solving skills
- Strong math skills with the ability to work precisely with numbers and financial calculations
- Strong attention to detail with the ability to work efficiently & accurately as well as the ability to follow up on pending items in a timely fashion
- Demonstrated ability in exercising independent judgment
- Strong organizational skills, including the ability to prioritize multiple/competing tasks and remain calm while working in a fast paced/deadline driven environment
- Demonstrated working knowledge of Microsoft Office Suite, advanced typing/keyboarding skills and the ability and willingness to learn new programs and software
- Ability to put forth the extra effort necessary to make the office a successful operation including but not limited to working additional hours that may require evenings/weekends on occasion
- Ability to maintain confidential customer information
- Ability to read, write, understand and speak English clearly
- Ability to represent the organization in a professional, positive manner
This is a full time role between the hours of 8:00 AM to 5:00 PM Monday through Friday. Flexibility in scheduling may be needed on occasion.
