POSITION SUMMARY:
Responsible and accountable for establishing operational and administrative infrastructure. Responsible for managing risk and assessing quality across multiple projects to ensure overall program success.
CORE DUTIES (These generally will be required but may not always apply based on department-specific needs):
- Coordinates new and ongoing projects under the direction of the Trauma Program Manager.
- Define project scope, goals and deliverables that support Trauma and Acute Care Surgery quality improvement goals in collaboration with senior management and stakeholders.
- Create the project charter and associated communications documents using Boston Medical Center A3 process.
- Effectively communicate project expectations to team members and stakeholders in a timely and clear fashion.
- Follow up with project stakeholders on an ongoing basis.
- Create Word documents/correspondence, Excel spreadsheets, PowerPoint presentations and databases.
- Perform audits and data entry, create and maintain databases; develop related tables and charts
- Plan, organize and coordinate meetings including reserving conference rooms, sending and tracking invitations. Set up room and equipment (A/V tech, conference call, projector, etc.).
- Prepare meeting agenda, produce and supply materials, record and distribute meeting minutes.
- Provide administrative support to leadership including, but not limited to: scheduling appointments, scheduling meetings, following up on meeting generated tasks, preparing documents and presentation slides.
- Prepare confidential material for Ongoing Professional Practice Evaluation (OPPE)
- Set and continually coordinate project goals with team members and stakeholders.
- Identify and resolve issues and conflicts within the project team.
- Plan and schedule project timelines and milestones using appropriate tools.
- Track and follow-up project milestones and deliverables.
- Develop and deliver progress reports, proposals, requirements documentation, and presentations.
- Determine the frequency and content of status reports from the project team, analyze results, and troubleshoot problem areas.
- Proactively manage changes in project scope, identify potential crises, and devise contingency plans.
- Define project success criteria and disseminate them to involved parties throughout project life cycle.
- Build and develop relationships vital to the success of the project.
- Conduct project post implementation review and create a recommendations report in order to identify successful and unsuccessful project elements.
- Perform other duties as required for the success of the project.
DEPARTMENT-SPECIFIC DUTIES
- Coordinate audits of standardized practices and systems in collaboration with other departments.
- Create presentations related to data interpretation, analysis, project design, program development and evaluation.
- Collaborate with IT on the development and transfer of surgery order sets to EPIC.
- Actively assist the director of Clinical Quality and Patient Safety in the development of strategies to enhance continuous improvement in processes and systems, and in the outcomes of surgical patients
JOB REQUIREMENTS:
EDUCATION:
- Associate's degree in Nursing a minimum. A Bachelor's degree in Nursing preferred. MSN or Advanced degree a plus.
- Preferred Clinical Experience: 2 - 5 years in Emergency, Trauma and or ICU.
