Overview:
The Clinical Services Coordinator II provides support directly related to patient services in assigned area. Majority of work product is directly related to the delivery of patient services and is focused on providing day-to-day physician and clinic support to meet the needs of the program, clinic and patients served. Work activities are focused on gathering, maintaining, coordinating and exchanging protected health information related to the ongoing care and treatment of patient served in the clinic, program or department.
Responsibilities:- Develops and optimizes administrative systems to include work flow and standard operating procedures that will improve efficiencies, increase productivity, increase revenue, improve patient services and better support the clinics through a reduction in the no show rate as well as re-engaging families through additional contact within Neurology Developmental Medicine Department.
- Coordinates scheduling and onsite activities of multiple clinics; greets patients and their families to promote a sense of individual treatment; resolve logistical problems within the clinical setting; monitor individual patient schedules and team member’s adherence to time allotments.
- Monitor all new and follow-up patients using Schedule Generator and work with physicians, Care Center, families and patients to ensure proper scheduling related to the patient’s needs, informing physicians of same and keeping them aware of changes.
- Coordinates and monitors the flow of outpatient clinic dictations to ensure compliance with billing and regulatory requirements; investigates each deficient dictation and maintains a database that includes dictation status.
- Acts as liaison between the Clinical Care Center, Care Management and Outpatient Nursing, the medical staff and families to resolve problems with scheduling, billing and clarification as to appropriate clinic assignment.
- Receives requests for prescriptions from patients, families and/or service providers, and assists clinical staff with refilling and distributing prescription requests via fax, mail or front desk pickup.
- Creates and maintains administrative documents such as manuals, databases, correspondence, etc. for the assigned clinic.
- Coordinates and schedules individual and interdisciplinary group meetings for department personnel with other KKI staff members and the general public using the GroupWise scheduling system.
- Facilitates and coordinates regular meetings with clinic specific providers and teams.
- Assist physicians with completing, submitting and adhering to Time Studies requirements.
- Complete applicable documentation when lab results are obtained so that nurses and providers have appropriate information.
- Cross train and gain knowledge of NDM clinics so that individual skill set is broad enough to provide team coverage for the NDM support clinics and programs.
- Acts as receptionists for the department, answering telephones, greeting visitors and staff, receiving faxes and mail, and distributing the same to the appropriate personnel.
QUALIFICATIONS: |
- Proficiency with MS Office suite, including Access, PowerPoint, Excel and the ability to type accurately at 60+words per minute.
EDUCATION: |
- HS Diploma required
- AA degree, preferred
EXPERIENCE: |
- Minimum of three years of work experience coordinating healthcare services preferably in a hospital or clinic setting.
