In this role, you’ll be at the forefront of managing credit card disputes and chargebacks, playing a crucial part in ensuring the company’s financial integrity.
POSITION SUMMARY
The Collections Coordinator will play a critical role in managing and resolving credit card disputes and chargebacks, handling approximately $5 million annually per coordinator, and contributing to the company's overall financial health by overseeing $40 million+ annually in disputed transactions. The role also involves proactive collection efforts on outstanding receivables arising from unpaid reservations and onboard folios.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Dispute Management: Retrieve and review daily credit card activity, including disputes and chargebacks. Compile and organize supporting documentation using the AS400 reservation system, electronic and paper shipboard records, and other third-party software.
- Communication: Respond to credit card companies, travel agents, and passengers both in writing and orally, adhering to strict deadlines.
- Case Management: Maintain organized case files for ongoing follow-up, future reference, and support in dispute resolution and collections.
- Collections: Pursue outstanding receivables related to reservations and onboard charges, including those arising from returned checks, chargebacks, travel agent commissions, and other unpaid balances.
- Collaboration: Work closely with various departments (e.g., Reservations, Groups, Customer Service, Sales Administration, Casino, Human Resources, Shipboard Administration) to support collection efforts and resolve payment issues.
- External Coordination: Liaise with outside collection agencies and the internal Legal Department to escalate and manage collections on delinquent accounts.
- Ad Hoc Tasks: Perform additional analyses and processes as requested by management.
QUALIFICATIONS
- Associate degree (A.A.) or equivalent from a two-year college or technical school, with two or more years of related experience; or an equivalent combination of education and experience.
- Proficiency in an AS400 environment and experience with JD Edwards or similar accounting systems.
- Strong Microsoft Office skills, particularly in Word, Excel, and Outlook.
- Excellent interpersonal, written, and verbal communication skills.
KNOWLEDGE AND SKILLS
- Ability to meet daily, weekly, and monthly deadlines in a high-volume environment.
- Strong organizational skills with the ability to manage multiple tasks simultaneously.
- Effective communication with various departments to resolve voyage verification and validation issues.
