Commercial Sponsorship Assistant - Commander, Navy Installations

Summary The purpose of this position is to provide administrative assistance to the Regional Supervisory Commercial Sponsorship Specialist to provide a diversified and viable commercial sponsorship program to defray costs of special events and solicit in-kind sponsorship for the Morale, Welfare & Recreation (MWR) Department and War Fighter Services (WFS) throughout the Fleet & Family Readiness (FFR) Department, Mid-Atlantic Region. Responsibilities Responsible for maintaining accounting/record keeping, evaluation of events and follow-up communication with sponsors. Assists with developing proposal packages and negotiates best terms for MWR. Initiates contracts and ensures they are reviewed by legal counsel, agreed to and signed by the appropriate person. Ensures the contractual "quid pro quo" is fulfilled through execution of considerations and completion of evaluation/follow-up reports. Establishes and maintains continuous liaison with recreation program managers, key staff personnel, commands or groups to gather information pertinent to facility programs, services and events in an effort to solicit sponsorship and participation. Reviews programs and events, identifies problems or deficiencies and recommends appropriate changes to meet desires and needs of patrons served. Conducts a full range of ongoing patron surveys. Evaluates and interprets data obtained and provides constructive feedback to staff for the purpose of program modification and enhancement. Attends special meetings with appropriate staff members to ensure deadlines, sponsorship and advertising fulfillment, equipment, materials, and departmental commitments are being met for each event. Attends all sponsored events in progress. Prepares purchase orders and contract requests in compliance with accounting standards for departmental and event-related purchases. Performs other related duties for this position as assigned. Requirements Conditions of Employment Qualifications Resumes must include information which demonstrates experience and knowledge, skills, and ability (KSAs) as they relate to this position. A qualified candidate must possess: Must have a minimum of two (2) years documented experience in administrative functions, to include: excellent typing skills, ability to use a personal computer with specific ability with word processing, spreadsheet, data base and presentation software. Microsoft Word, Excel, Access and PowerPoint strongly preferred. Must be familiar with pertinent accounting procedures, billing processes, purchasing and requisitioning procedures. Must be familiar with document filing and retrieval systems, and have the ability to accurately maintain filing systems. Excellent communication skills both written and oral to communicate regularly with sponsors, the Office of General Counsel (OGC) and facility/program managers, and to prepare fulfillment reports as required. Skill in the application and utilization of knowledge used to plan and carry out commercial sponsorship/special event activities which meet, as fully as possible, the needs of the participating installation/community. Ability to develop customized presentations and address groups. Experience in coordinating large scale, complex activities and events. Skills in organizing, planning and executing events. Knowledge of military programs. Knowledge of commercial sponsorship. Ability to follow oral and written instructions. Education This position does not have a positive education requirement.
