Job Summary:
The Community Operations Manager plays a crucial role in overseeing property management operations, ensuring compliance with regulatory requirements, mitigating risk, and delivering exceptional resident experiences across the portfolio. This position will be responsible for maintaining operational excellence, supporting community managers, assisting interim during property acquisitions, and driving key initiatives related to customer service, property operations, compliance, and risk management. The Community Operations Manager must be adaptable, organized, and able to work in a fast-paced environment.
Key Responsibilities:
- Property Management: Act as interim Community Manager when needed, managing day-to-day operations, ensuring resident satisfaction, and maintaining property standards.
- Operations Compliance: Oversee compliance with regulations, renter's insurance, vendor management, and other legal requirements, ensuring up-to-date documentation and adherence to industry best practices. Collect and review 1/12th audit forms to ensure compliance and identify potential risks. Drive the completion of safety initiatives such as risk audits, preventative maintenance programs, and SDS and O&M compliance.
- Risk Mitigation: Identify potential risks through audits and incident report analysis; implement preventative measures such as safety initiatives and property inspections. Attend legal training, seminars, and local Apartment Association meetings to ensure the latest legal updates are being implemented and adhered to at both the local and organizational levels.
- Resident Relations: Ensure a high standard of resident relations, address inquiries, handle complaints, and provide superior customer service.
- Delinquency & Rent Collection: Manage rent collection, enforce lease terms, and address delinquencies promptly.
- Vendor Management: Maintain vendor compliance, including insurance documentation and contract updates.
- Team Support: Assist Community Managers with operational challenges, ensure smooth transitions, and provide training on updated legal and operational standards. Work closely with the training team to draft a curriculum on legal and safety updates.
- Compliance Audits: Conduct quarterly audits of resident files, work orders, and property compliance to identify and resolve issues. Maintain records of local Rent Registries and update them as needed. Assist in additional compliance and or audit-related tasks as assigned by Regional Managers or members of the Executive Team.
- Administrative Oversight: Manage budgeting, financial reporting, and work order processes. Ensure accurate reporting and track key operational data. Complete annual audits of resident files and work orders to ensure compliance and timely completion. Maintain records related to Lender and/or Insurance inspections and follow up with site teams and Regional Managers on the completion of required repairs.
- Special Projects: Assist with property transitions, onboarding/offboarding, and system migrations as required. Support the executive team on special projects related to insurance claims, legal compliance, and risk assessments.
Qualifications:
- Minimum 3 years of property management experience, with at least 2 years in a supervisory role.
- Proficient in property management software, Entrata preferred.
- Knowledge of Fair Housing laws, eviction procedures, and compliance standards.
- Strong communication skills with the ability to manage multiple tasks and deadlines effectively.
- Experience with budgeting, vendor management, and marketing strategies for residential properties.
- High school diploma or equivalent required; certifications such as ARM, CPM, or CAM preferred.
- Familiarity with Google Suite and Excel.
Work Schedule:
Monday to Friday, 9 AM - 6 PM, with remote work available on certain days. Flexibility is required during special projects, high vacancy periods, or lease-up phases. Regular travel between properties and to company meetings is required.
