The Role:This dynamic role is key to keeping the Risk Management team running smoothly! As the backbone of the department, you'll handle essential administrative tasks, ensuring the team operates efficiently while staying in compliance with regulations. Your attention to detail and proactive support will help maintain seamless workflows and drive the overall effectiveness of Risk Management operations. NOTE: This is a hybrid role (3 days in office /2 remote).
WHAT YOU WILL DO:- Support the Risk Management team including generating reports and managing documentation
- Preparation and mailing of time sensitive letters, including those that require certification, ensuring timely and proper delivery.
- Assist in reviewing invoices, ensuring all documentation is complete and accurate before processing.
- Process FMLA, CFRA, WC, ADA, PDL paperwork and timesheet entries for employees on leave of absence.
- Collaborate with other departments to pull wage statements, employee documents for subpoenas and other legal requirements.
- Maintain and manage spreadsheets, prepare reports, and complete data entry tasks to update various report trackers on Excel with accuracy.
- Create, maintain, and update paper and electronic files to ensure they are always correct and complete.
- Manage and organize medical billing tasks by coding line items to appropriate cost center
- Manage and safeguard sensitive information
- Confidently uphold policies and protect sensitive information by making thoughtful decisions, including the ability to decline requests when appropriate.
- Manage and execute coordination of multiple projects within required timeframes and expectations
- Produce quality documentation in accurate and timely matter (i.e. state specific wage statements, client posting notice)
- Assist team with implementation of standards, processes, programs and best practices related to risk operations
- Review loss runs for accuracy
- Monitor multiple email inboxes and claims hotline voicemail inbox and respond accordingly
- Correspond with third parties such as clients, insurance carriers and vendors as necessary
- Review requests for Certificates of Insurance and work with Carrier/TPA to provide to clients
- Participate in key special projects as requested and perform additional assignments as needed and instructed by manager.
Bilingual English and Spanish (required) enabling effective communication with all levels of the organization, clients and vendors, both verbally and in writing. College/associate’s degree or comparable work experience
2+ years’ experience in a compliance driven environment (insurance, dental, health, etc.) industry preferred
1 + years’ experience in payroll processing, medical billing, claims handling, or managing leaves of absence is a plus. Special handling instructions (HIPPA knowledge) in a professional setting
Demonstrated experience in handling sensitive information and maintaining confidentiality.
Strong organizational skills and attention to detail.
Demonstrated decision-making and problem-solving skills
Ability to manage multiple tasks, prioritize effectively and meet deadlines, with minimal supervision
Ability to understand and apply DOT, HIPPA, and ADA guidelines and regulations in applicable work assignments (a plus)
Adaptability to constantly evolving environments while demonstrated flexibility
High level of commitment to quality work product and organizational ethics, integrity and compliance
Basic level experience with Microsoft Office Suite (Word, Outlook, PowerPoint) and intermediate to advanced knowledge use of Excel (v-Lookup, basic formulas, Pivot Tables, and merging multiple reports)
1 year experience working with HRIS or similar system entering, maintaining and exporting data from a database; Leave Management or HRIS system experience preferred
Reliable transportation to report to Culver City office, Carson Warehouse or job sites as needed
