General description
The Unclaimed Property Division is responsible for administering the states unclaimed property program and returning abandoned property to its rightful owners.
To accomplish this objective, division staff receives and processes property reports from holders; provides information and assistance to claimants; verifies and processes claims, evaluates data for system implementation and manages the contract audit and voluntary disclosure programs. Owner outreach efforts include posting available properties on two online searchable databases (ClaimItTexas.govandMissingmoney.com) and owner notice mailings.
This position will the divisions primary timekeeper, travel coordinator, and records retention coordinator; as well a backup to the division security coordinator and technical support functions.
This position may be eligible for a flexible/hybrid work schedule if certain conditions are met; working arrangements may change at any time as business necessitates.
Qualifications: Education:
High school diploma or equivalent
Preferred Education:
Graduation from an accredited four-year college or university with a Bachelors degree.
Experience:
Four (4) years customer service experience handling phone calls and providing administrative support for internal/external customers
Two (2) years of experience using Microsoft Office Suite generating spreadsheets and writing/editing correspondence
Preferred Experience:
Two or more years of experience coordinating travel arrangements for two or more people
Two or more years of experience recording, updating or reconciling electronic employee timesheets
Two or more years of experience coordinating meetings and scheduling activities for senior level of management or officers of organization
In this role you will:
Perform timekeeping duties, answer the division director phone line, schedule division activities and coordinates parking and floor access for division staff. Maintain and update division personnel files, org chart/phone list, coordinate updates to division and personnel forms, creates procedure updates and routes division communications. Coordinate travel arrangements and reimbursements. Develop employee engagement activities and new employee onboarding activities. Assist in procedure writing and procedure testing. Work with division management to define requirements, timelin s and resources for division reports and programs such as performance reporting and business planning. Coordinate with the staff participating in the development or annual update of these programs.
Serve as back up division security coordinator and responds to inquiries regarding technical support and assist in analysis, research, and preparation of responses to technical requests for information.
Represent the division in meetings, review and document division processes and procedures. Identify opportunities to streamline procedures or improve processes making recommendations and assisting with implementation of approved recommendations.
Serve as the divisions records retention coordinator. Will maintain records retention schedules and guide division staff in meeting statute deadlines, making recommended changes/additions to management. Assist in coordinating division space planning, works with Unclaimed Property supervisors and other divisions such as Support Services and Information Technology to arrange physical moves. Perform related duties as assigned.
Veterans:
