Responsibilities:- Draft and send written correspondence to customers.
- Assist Conference/Catering Managers by creating proposals and estimates as requested.
- Coordinate site inspections with effective on-site communication and follow-up.
- Responsible for creating and distributing Banquet Event Orders (BEOs) to various hotel departments to ensure seamless event execution.
- Maintain accurate reader board information.
- Maintain ongoing communication with Conference/Catering Managers to ensure accurate follow-up and business closure.
- Handle general office duties and support team members as needed.
- Foster positive working relationships with departments interacting with convention groups.
- Stay informed about the legal aspects of contractual agreements and participate in continuous training.
- Manage interactions with both internal and external guests, employing patience, tact, and diplomacy to resolve issues.
- Analyze resource reports using Delphi, Market Vision, Cvent, Knowland Group, and other tools.
- Detect and respond to emergency situations as needed.
- Communicate effectively in English, both verbally and in writing.
- Assist conference/catering managers during events to include client contact, room setups, and service of the event.
- Assist conference/catering managers by maintaining calendar and appointments, scheduling logistical meetings.
- Attend menu tastings and preconference meetings as required.
- Responsible for event signage as needed.
- Responsible for coordinating in-house meetings among all hotel departments.
- Use a complex computer system to access and input information accurately.
- Provide hands-on support during peak business periods to include early mornings, evenings, weekends and holidays.
- Identify opportunities for positive public relations and emerging business markets.
- Contribute to a productive work environment and motivate team members.
- Attend departmental and property meetings as required.
- High school diploma or GED required; college degree preferred.
- Industry certifications are a plus.
- Demonstrated ability to perform essential duties satisfactorily.
- Lift, push, and pull up to 25 lbs. and stand, walk, or sit for 6-8 hours per day.
