About the Job
The Conferences Registrar & Administrator will provide administrative, registration support, and program coordination/assistance to the Conferences and Meetings department. The department is responsible for the development and implementation of the association’s conferences program and annual convention. FULL TIME DIRECT HIRE ROLE.
Compensation: $To Be Detemined
Location: Washington, DC 20006
(HYBRID – to be discussed in interview, most 2x a week in office with flexibility)
Schedule: Monday – Friday, standard hours 40 hours a week

Conferences Registrar & Administrator Responsibilities:
Conference & Meeting Financial/Report Support
- Provide weekly registration reports for all association conferences.
- Prepare data to assist the Manager with analyzing the survey results as well as attendee profile background that results in a creation of a post event power point.
- Prepare attendee lists (pre and post event) and various on-site conference reports for event team member handling on-site execution.
- Develop reports to assist in data analysis.
- Conduct rooming, registration, and member verification for event contributors (i.e. speakers, facilitators, moderators).
- Serve as the department point of contact handling member inquiries regarding all association events including but not limited to management of the share Events inbox.
- Assist in the preparation of all conference task force and applicable committee meetings, including management of meeting minutes and materials.
- Research and apply for Continuing Legal Credits (CLE) for the Legal Symposium
- Create resource websites for post-event information to send to attendees.
- Prepare badges and all necessary materials including sign inserts, tent cards, session/registration handouts, registration & staff handbooks for all conferences and meetings.
- Prepare event communication templates for event attendees and contributors.
- Maintain inventory of conferences supplies including signs, badges, badges holders, ribbons, etc.
- Packing of all meeting materials for all events and coordinating shipment to venue.
- General office duties for the department including mailing, filing, etc.
- All other duties as assigned by the Senior Director.
FUTURE STATE SPECIFIC RESPONSIBILITIES
Conference & Meeting Registration
- Build, maintain, and troubleshoot all conferences on the registration platform, outside of Convention.
- Responsible for creating and implementing registration procedures for all conferences to include order processing and all registrant communication messaging.
- Act as key point person on registrations for all conferences and events.
- Work in collaboration with Technology Director and external logistics partner to prepare content, review and test the Convention registration.
- Serve as conference team liaison
- Perform day to day financial transactions on conference-related accounts, including verifying, computing, and inputting accounts receivable data in compliance with financial policies and procedures.
- Resolve collections on conference-related accounts by sending invoice reminders and communication with customers via phone, email, fax or mail.
- Responsible for on-site registration at conferences.
- Create survey monkey evaluations for each conference and meeting.
- Support the Manager by updating conference websites with applicable forms and/or brochures, etc.
Conferences Registrar & Administrator Education/Experience/Qualifications:
- MS Office Proficiency (Outlook, Excel)
- Google Suites Proficiency (Gmail, Sheets)
- Proficiency in CVENT software
- Excellent Communication Skills both written and verbal
- Dynamic personality to work with all staff levels.
- Adaptable, Flexible, Kind, Ability to role with the punches and work at reasonable pace

Compensation / Pay Rate (Up to): $28.85 - $31.25
