CLASS TITLE: Administrative Assistant - Human Resources

OVERVIEW:
The functions of this job classification require the performance of activities that are often highly confidential in nature. This position is high profile, fast paced and performs a wide variety of complex, confidential administrative, managerial and communication functions related to Human Resources.
ESSENTIAL FUNCTIONS:
Perform a broad array of general and program specific administrative clerical functions (i.e. compiling data, updating databases, composing documents, preparing written materials, calling for express mail pickup, disseminating mail, faxing, filing, etc.) for the purpose of supporting assigned administrator and/or assisting Human Resource support staff in the performance of their assignments. Coordinates, supervises and monitors special projects, assignments and activities.
Respond to inquiries from staff and the public to provide requested information and/or referral to other parties. Prepare correspondence and other written documents for the purpose of supporting an assigned administrator. Processes documents and materials (schedules, agendas, mail, etc.) for the purpose of disseminating information to appropriate parties. Process and receive mail, deliveries, supplies, messages, keys, etc. for the purpose of disseminating materials to appropriate parties. Maintain manual and electronic documents, files and records.
Provide support with Human Resource Management Systems which may include set-up, implementation, training and on-going maintenance. Manage and track purchase orders, contracts and budgets using Human Resource Management Systems. Order supplies for the purpose of ensuring availability of items as needed.
Provide support and administrative clerical functions for union negotiations, grievance procedures, industrial injuries, complaints and disciplinary actions. Compose complex documents (correspondence, agendas and reports) for the purpose of documenting events, providing and/or requesting information. Follow State, Federal and Local Public School Policies and Procedures.
Organize staff and community meetings in support of an assigned administrator. Attend meetings as assigned for the purpose of conveying and/or gathering information. May occasionally require nights, weekends, holidays, or to be on-call.
REQUIRED QUALIFICATIONS:
Confidentiality – Must be able to exhibit discretion at all times and understand when information cannot be shared with co-workers, parents or the community at large.
Excellent interpersonal skills – This job requires a high degree of interaction with the staff, the public. A successful candidate will be able to interact with board members, district management team, staff, parents and the community with tact, grace and patience.
Strong written and verbal communication skills – This position will be responsible for a wide variety of communication tasks, including writing Board memos, preparing a wide variety of reports, documents and correspondence, speaking with parents and staff, and occasionally working with the Director of Communication in preparing press releases or other written communication. A successful candidate will be able to read technical information, compose a variety of documents and solve practical problems.
Organizational skills – Ability to gather and track a large volume of information. Must be able to sort, file, and distribute information, and follow-up on a wide variety of tasks. Must be able to work independently under broad organizational guidelines to achieve unit objectives using sound judgment and problem solving skills.
Technology skills – Must be proficient in using Google Suite and electronic communication tools, including automated phone messages, subscriber email lists, social networking sites, and web-based systems for required public communication. Must be comfortable learning and working with the tools the district has adopted, and be willing to work with new systems, as appropriate.
Laws and Procedures – Ability to apply pertinent codes, policies, regulations and/or laws and procedures as needed. Must be able to perform basic math functions, including calculations using fractions, percents, and/or ratios;
EDUCATIONAL REQUIREMENTS:
Any combination of experience and training which would indicate possession of the knowledge, skills and abilities listed herein. Completion of the 12th grade and a minimum BA degree, and five years of varied and responsible secretarial and office management experiences involving decision making.
Valid California Driver's License and insurance.
