This position is remote and can be located anywhere in the US.
PURPOSE AND SCOPE:
Seasoned, skilled specialist providing a broad range of administrative support and subject matter expertise. Provides a broad range of administrative support to appropriate executives and departments which may include handling details of a confidential nature. Ensures all department tasks are performed in accordance with standard operating procedures and in compliance with company and regulatory requirements. Assists with ensuring appropriate communication between personnel within the department and operations. May act as informal team lead and a back-up to other administrative personnel within the department as needed.
PRINCIPAL DUTIES AND RESPONSIBILITIES:
Under minimal supervision, completes contract and project administration tasks in resourceful and effective ways containing all necessary verification, approvals, and documents etc. to meet deadlines, process, procedures or delivery dates.
Collaboration in drafting subcontracts, purchase orders and change orders on the document management system as well as reviewing, screening, identifying, and making modifications to deficiencies associated with the contracts.
Posts all related contract documents on the web-based document control system and manually files executed documents/contracts in appropriate record files. Archives documents upon project completion.
Logs and files all Certificates of Insurance. Reviews limits/terms/conditions for compliance and manages expirations dates as necessary.
Ensures all lien waivers are received and the document control system is current with payment requisitions.
- Assists with ensuring the efficient functioning of the department through the provision of day to day administrative support
- Maintains and updates the job cost system regarding potential change orders and change orders to all contractual agreements.
- Acts as a subject matter expert and informal lead to department administrative staff, developing office procedures/forms and providing training, guidance, and support with tasks that require considerable judgment and initiative as needed.
- May assist with the contractor pre-qualification process and ensure all bid packages are completed and sent to pre-qualified contractors on time
- Establishes and maintains the project location board sorted by project classification
- Maintains confidentiality at all times with various department files and records.
- Provides software support and assistance as needed. Provides timely construction updates and reports to management team and office as needed.
- Responsible for maintaining adequate inventory levels of necessary office supplies, forms, cameras and computers.
May escalate difficult/complex issues to supervisor for resolution, as deemed necessary.
Assist with various projects and supporting various departments as assigned by direct supervisor.
Performs other related duties as assigned

EDUCATION:
- Bachelor's Degree; Advanced Degree desirable or an equivalent combination of education and experience
EXPERIENCE AND REQUIRED SKILLS:
- Minimum of 5 - 8 years directly related experience in the construction industry; or 2 - 4 years' experience within the construction industry with an Associate's Degree; or 1- 2 years' experience within the construction industry with a Bachelor's degree.
- Thorough familiarity with standard concepts, practices, terminology and procedures within the construction field.
- Comprehensive knowledge of construction management process from pre-construction to construction completion
- Understanding of contracts and contract law.
- Ability to assume a leadership role with administrative personnel.
- Proficient organizational skills with the ability to manage multiple projects simultaneously.
- Possess a team orientation to management and company culture.
- High aptitude for accuracy, timeliness and attention-to-detail.
- Possess strong written and oral communication skills.
- Strong interpersonal skills with the ability to build working relationships with internal and external customers to enhance efficiency, satisfaction of staff and corporate support.
- Proficient in computer software such as Microsoft Office products, project management and database programs and systems.
