**SUMMARY:**
The Project Administrator is responsible for collecting, maintaining, and distributing all project documents. This position provides assistance to all levels of staff on a project.
**ESSENTIAL DUTIES & RESPONSIBILITIES:**
1. Perform administrative functions including filing, maintaining correspondence logs, processing incoming and outgoing correspondence and transmittals into hard files and electronic databases, recording and storing photographs, and scheduling meetings.
2. Manage documentation, compliance reporting, and all filing system developments.
3. Assist in preparing reports and PowerPoint presentations, developing and updating project administrative procedures, and maintaining project manuals and libraries.
4. Track and manage the resolution of RFIs, submittals, and change orders.
5. Review, log, and act upon incoming and outgoing documents associated with the project.
6. Input daily project information into the computer system.
7. Work with the Construction Management Team to prepare and submit monthly reports.
8. Archive all project records and maintain recordkeeping of such documents.
9. Perform other duties as assigned based on the position's role within the business unit.
**EDUCATION AND EXPERIENCE:**
- Associate's degree in Business Management or related discipline
- Minimum 1 year of previous document control experience, preferably in a construction environment
- Combination of education, training, and relevant experience considered
**KNOWLEDGE, SKILLS & ABILITIES:**
- Proficient in computer, filing, and 10-key skills
- High attention to detail and strong analytical skills
- High level of discretion and interpersonal skills to handle sensitive and confidential matters
- Proficient in Microsoft Office (Outlook, Word, Excel, etc.); Oracle preferred
- Ability to prioritize and manage multiple tasks, adapting to changing priorities
- Ability to work under time pressure and adapt to changing requirements with a positive attitude
- Effective oral and written communication skills
- Self-motivated, proactive, and effective team player
- Ability to interact professionally with all levels of employees, vendors, clients, and others
**WORKING CONDITIONS:**
- General work environment includes sitting for long periods, standing, walking, typing, carrying, pushing, and bending
- Work is conducted primarily indoors with varying environmental conditions such as fluorescent lighting and air conditioning
- Noise level is usually low to medium
- Occasional lifting of up to 35 lbs.
