Position Summary:
Midnight Sun Global Services is looking to hire a Construction Project Coordinator. This position will have responsibility for assigned projects in terms of setup, NTO, insurance, files, subcontractors, billing, change order processing, etc.
Duties/Responsibilities:
- Assist with creation and maintenance of project files on shared drive. Establish and maintain appropriate document control.
- Verify and document subcontract paperwork (insurance certificates, lien waivers, signed subcontracts and certified payrolls) in support of PMs and the Project Accountant.
- Ensure the proper distribution/review/coding/approval of subcontractor and supplier invoices.
- Support Pre-construction activities through solicitation and proposal assembly.
- Manage Procore or similar project management system to file client change requests, subcontracts, subcontractor change orders and purchase orders.
- Assist in the preparation of monthly client invoices to include certified payroll.
- Support project teams in the project submittal process.
- Work cooperatively with co-workers, clients, and vendors.
- Maintains all copies of contracts, subcontracts, purchase orders, change orders, etc.
- Maintain Contracts/Purchase Order log for each project.
- Cross training as needed in other administrative areas such as HR and accounting.
- Assist with the security and government approval process including badging, paperwork, and training.
- Assist with contract closeout to include return of equipment and materials, Employee Status Change (ESC) forms, and other paperwork.
Minimum Requirements:
- High school diploma required; Bachelor's degree preferred.
- Minimum 2-3 years of experience as project admin assistant for a general contractor.
- Thorough knowledge and experience of billing/invoicing using purchase orders and subcontracts.
- Proficient with Microsoft Office applications (Word, Excel, PowerPoint)
- Ability to use Adobe to edit documents.
- Experience handling lien releases, pay applications, and change orders.
- Strong attention to detail.
- Excellent time management and multi-tasking abilities; deadline driven.
- Excellent administrative and organizational skills.
- Solid interpersonal and communication skills both oral and written.
