Position Overview:
We're looking for a dedicated Construction Support Specialist (CSS) to enhance our team's efficiency and effectiveness. In this role, you will provide vital administrative and operational support to our construction management team. You'll be the backbone of project coordination, playing a key role in managing project documentation, facilitating communication, and ensuring smooth project execution from start to finish.
Key Responsibilities:
*Project Documentation and Coordination:
*- Manage the flow of project documents, ensuring timely distribution and tracking to keep all stakeholders informed.
* Assist in preparing, reviewing, and editing project-related documents, reports, and presentations.
Communication Hub:
* Act as the central point of contact for all communications, handling calls, emails, and inquiries with professionalism.
* Maintain effective communication with clients, subcontractors, vendors, and team members to support project objectives.
Bid and Proposal Assistance:
* Support the preparation and management of bid documents, proposals, contracts, and purchase orders.
* Monitor and follow up on action items and deadlines to keep projects on track.
New Project Startup and Management:
* Assist with the initial setup and ongoing management of new construction projects.
* Coordinate between job sites and central administration to ensure seamless project operations.
* Support project closeout processes for a successful project handover.
Financial Coordination:
* Work with project managers to enter and submit invoices, ensuring accurate and timely financial processing.
* Collaborate with the finance team to handle billing, invoicing, and payment tasks.
Resource and Logistics Management:
* Organize resources for project needs, including equipment rentals, material deliveries, and subcontractor schedules.
* Maintain inventory records and order supplies to support project operations.
Administrative Support:
* Provide general administrative assistance as needed to keep the office and project workflows running smoothly.
Qualifications:
* Proven experience as an administrative assistant, office manager, or similar role, ideally in the construction sector.
* Strong organizational and multitasking abilities with excellent attention to detail.
* Outstanding written and verbal communication skills.
* Ability to work independently while also being a collaborative team player.
* Willingness to learn and utilize ProCore project management software.
* Proficiency in MS Office Suite.
* Familiarity with construction processes, terminology, and documentation is preferred.
* Basic understanding of accounting principles and financial reporting is a plus.
