Responsibilities:About the role
The Contract Administrative Assistant is responsible for organizing and coordinating office operations and procedures to ensure organizational effectiveness and efficiency. This role involves administrative task, supporting staff and assisting with special projects.
In this role you will:
- Provide administrative support for the IT department and administrative team as needed
- Assist with special projects and coordinate office activities as required
- Travel Arrangement: organize and coordinate travel plan, itineraries, and accommodations
- Expense Report management: Audit, submit and reconcile
- Assist with new hire onboarding process, desk assignment, office hardware and office supplies
- Responsible for updating and maintaining IT location and desk assignment
- Support sponsored community investment projects and team events
- Maintain and track office supply inventory, order new supplies as needed
- Meeting support, conference room booking, process catering orders, set up and tear down
- Visitor support, submit visitor access badge, request visitor WIFI access
- IT Admin site point of contact

- Basic knowledge of general office procedures
- Basic software applications (eg, Outlook, Word, Excel, Lotus, Access, Internet, Email)
- Office equipment (eg, printers, telephones, copiers, fax machines, etc)
- Intermediate understanding of general corporate office procedures
- Ability to make independent decisions, solve problems, and exercise discretion relating to the performance of day-to-day duties
- Ability to multi-task and meet tight deadlines
- Ability to speak effectively with customers or employees
- Proficient oral and written communication skills
- Handling confidential matters and information
Education and Experience
- High School Diploma or equivalent required
- 1-2 years of office, domestic and international travel booking, expense management experience preferred
