Job Overview:
We are seeking a responsible Contract and Purchasing Administrator to join our team.
Your primary responsibilities will be contract life management, this will involve reviewing estimates, preparing contracts with terms and conditions, data entry into software systems and the review, update and renewals of existing contracts. This position will also coordinate purchasing for all areas of our business working to obtain the best pricing and eventually maintaining and disbursing inventory. This position will report to the Accounting and Business Office Manager.
Responsibilities include but are not limited to the following:
- Prepare sales contracts
- Negotiate contract terms with internal and external business partners, when necessary
- Review and Update existing contracts
- Understand terms and conditions of contract and have ability to explain to internal and external business partners
- Ensure that the company is in compliance with company contracts
- Analyze potential risks involved in contract terms
- Ensure all deadlines and conditions described in the contract are met
- Maintain organized system records, including contract renewals, estimating templates, updated pricing, etc.
- Create language standards for existing and new contracts
- Win Contract and coordinate the purchasing of materials for projects
- Establish, maintain, and monitor vendor relationships and activities.
- Perform vendor research and selection
- Perform product review and selection, searching for best price and quality
- Purchase supplies and consumables
- Create and approve purchase receipts
- Maintain accurate and clear purchase records
- Receive purchase orders and coordinate project schedule with operation manager
- Responsible for project change orders when necessary
Skills and qualifications:
- Familiarity with accounting procedures
- Excellent Writing Skills
- Attention to detail with an ability to spot errors
- Strong analytical and organizational skills
- Ability to work with varying seniority levels, including staff, managers and external partners
- Ability to critically evaluate
- Excellent communication, and interpersonal skills
- Ability to work with minimal supervision
- Direct experience with spreadsheets and computer applications
- Ability to use contract and purchasing software
- Experience with ASPIRE Software (would be nice, not a requirement)
- Experience with Google Suite (would be nice, not a requirement)
Requirements:
- Authorized to work in the United States
- Clean felony record / Drug-free
- Valid Driver's License and a clean driving record

Compensation:
$39,520 - $52,000 annually, negotiable based on experience
