JOB OVERVIEW
The Construction Management team at SITE Centers is looking for a Contracts Coordinator to generate, process and maintain all construction project management related documents. While each day is different based on business needs, the Coordinator will primarily generate contracts for all landlord work projects, obtain contract approvals, manage the contract process from start to finish, process pay applications, submit change orders from vendors and collect insurance certifications. The Coordinator will need to be a professional organizer and time management guru to organize, prioritize and manage the contract project lifecylce timely based upon business needs. This role is critical to our company goal of keeping landlord and tenant construction on track and finding ways to expedite that process which results in contractors starting construction work sooner, retail space being turned over quicker and rent commencing sooner. To thrive in this role, we need a detail-orientated Contracts Coordinator who has general administrative experience, knowledge of the construction industry, and familiarity with reading and interpreting commercial leases.
This position works a hybrid schedule in the Beachwood, OH corporate office 3 days a week (Tuesday and Wednesday required), and the option to work from home up to 2 days a week. During the initial 90-day onboarding period, we might encourage being onsite more than 3 days so you can get successfully oriented and trained in your new role.
The expected salary range for this regular, full-time non-exempt position is between $44,000 - $55,000. Actual compensation will be based on factors such as scope and responsibilities of the position, candidate's work experience, education/training, job-related skills, internal peer equity, geographical and industry market data, and business considerations and other factors permitted by law.
To be successful in this role, you will need to:
• Create new projects in Salesforce Building Project application and maintains vendors list as needed
• Prepare, route, track and log architectural and construction contracts, change orders, check requests, pay applications and other required documentation in accordance with department policies and procedures
• Accurately maintain construction insurance certificates, track renewals and ensure compliance
• Enroll new vendors on ACH in accordance with policies and procedures. Obtains W9 as necessary
• Assist in maintaining project and department files, including archiving of documents with the resource center
• Respond to routine questions from tenants, contractors, architects, sign companies and other vendors
• Provide notice of commencements and authorization letters to contractors and sign companies
• Coordinate travel arrangements, schedule meetings, distribute department correspondence and prepare and processe expense reports, enforcing time requirements per Company policy
