Job Summary
Oversees and supervises operations of the office of the president, the executive offices, and supporting team. Holds responsibility for effective and efficient functioning of hospital governance including accreditation and regulatory compliance to meet all requirements. Provides assistance to the president in a professional, trustworthy, and detail-oriented manner to include, but not limited to – schedule meetings and maintain calendars, prepare for committee meetings and take minutes, plan and make travel arrangements, coordinate phone calls and messages, and proactively identify and handle the needs of administration. Represents administration as needed through hosting surveyors, welcoming key guests, and supporting the Patient Relations department. Coordinates Executive Council, Advisory Board, and other key meetings and events. Builds and maintains relationships and serves as a communication link between administration and various stakeholders of the medical center both internal and external. As applicable, plays a lead role in the Employee Engagement Council and creates venues for the supporting team to connect, build trust, and create best practice. Performs other related duties as assigned.

Minimum Education
- Associate degree required or equivalent certification/executive assistance experience.
- Bachelors in business management preferred (preferably in a healthcare setting).
Required Skills
Proficient in use of computer programs (word processing, PowerPoint, Excel, electronic mail, desktop publishing) and other office equipment. Excellent telephone and public relations skills. Knowledge of modern secretarial and clerical methods and procedures. Knowledge of business letter writing and business forms. Ability to administer a variety of office activities and situations. Ability to use good judgement and discretion in screening inquiries and arranging appointments. Ability to maintain confidentiality when handling sensitive material and information. Ability to work independently in the absence of specific instructions.
Essential Functions
- Demonstrates appropriate judgment and thinking skills for situations.
- Schedules appointments, maintains calendar, and arranges meetings for the President.
- Attends committee meetings, prepared agenda, takes minutes, and assists with tracking/coordinating matters which arise from minutes, as needed.
- Coordinates efficient use of President’s time in the office for timely completing of projects.
- Makes travel arrangement for upcoming conferences/meetings.
- Efficiently follows through with duties as Assistant Secretary to the Board of Directors in a professional manner.
- Identifies and understands issues, problems, and opportunities; comparing data from different sources to draw conclusions; using effective approaches for choosing a course of action or developing appropriate solutions, taking action that is consistent with available facts, constraints, and probably consequences.
- 5+ years of executive assistance experience preferred.
