About the Job
The Facilities Coordinator handles a variety of facilities and office-related functions geared towards providing a well-maintained and productive work environment for ABS throughout its' leased or owned office properties and/or the surrounding area. Works closely with property management staff and other suppliers for required services. Responsible for a variety of duties such as office moves and relocations, catering service, and facility maintenance. Exercises discretion in dealing with sensitive information and top-level executives. Exercises independent judgment in handling routine matters.

The incumbent reports to the Facilities Supervisor. This position does not have any direct reports.
Working Conditions:
Work will normally be performed in an air-conditioned office environment and manual labor will be required. Occasionally may have to lift up to 50lbs and occasionally will be requested to work weekends and/or late evenings.

What You Will Do:
- Facilitate catering for the delivery, setup, and cleanup of all conference rooms associated with catering request.
- Maintain catering kitchen, and ordering kitchen supplies, as needed.
- Update the catering calendar as requests are received, print the catering forms, and post them in the catering kitchen.
- Process all catering requests on the quarterly chargeback spreadsheet and maintain the monthly dashboard reports.
- Assist with setup/breakdown of multi-purpose rooms.
- Conduct monthly safety walks to ensure the floors are well maintained by utilizing the checklist and reporting or performing needed maintenance.
- Assist in stocking breakrooms, and wellness rooms, and ordering all related supplies.
- Backup mailroom and reprographics as needed.
- Assists in ensuring that office-related services are provided in an effective, cost effort-efficiently manner.
- Assist with various maintenance-related buildings, e.g., hanging pictures, maintaining furniture/office keys, miscellaneous furniture repair, and setting up tables/chairs for special functions.
- Serves as central zed point for facility issues reported by personnel and coordinates response and resolution with property managers. Escalates repeated or systemic issues, as necessary.
- May work with outside vendors regarding building maintenance and supplies.
- Assists with the organization of company-wide events (i.e., picnics, holidays, parties, etc.).
- Performs routine clerical tasks and administrative tasks with moderate supervision.
- Sets up and maintains files in a timely and organized manner.
- Observe and report any action items related to the building life safety program.
- Participates in office personnel moves. May work with an outside moving company when warranted.
- Maintains storage area(s) for surplus furniture and equipment
- Participates in construction and relocation projects.
- Serves as a fire warden and is certified in CPR, 1st Aid, AED, and Bloodborne Pathogens.
- Carry out functions following the ABS Safety Manual.
- Delivers and picks up materials or supplies at various locations outside the organization.
- Able to train and assist others on facility-related job duties as needed.
- Demonstrates flexibility regarding availability for after-hours and occasional weekend work.
Education and Experience
- High School Diploma
- Valid driver's license
- Minimum of three (3) years of previous experience in facilities services
- Proficiency in the English language is commensurate with their future work.
- Proficient in Word, Excel, and PowerPoint.
- Clean Driving Record and valid driver's license.
- Ability to interact with other employees courteously and effectively.
- Ability to handle routine business matters in the absence of or on behalf of the Facilities Supervisor.
- Ability to communicate effectively with all levels of Management.
- Able to work independently with minimum supervision.
- Ability to function as part of a team and the flexibility to serve in multiple functions.
- Obtain a working knowledge of the ABS Health, Safety, Quality, and Environmental Management Systems.
