About the Job
High Point University is currently seeking a Coordinator for Student Life Operations. This position provides HPU students, faculty, staff, and families with first-class customer service by overseeing the management of the Office of Student Life front desk. This position oversees the Office of Student Life front desk staff (including student staff) and delegates tasks to ensure timely completion of operational duties.
QUALIFICATIONS:
Education
- Required: Bachelor' s Degree.
Experience and Training
- 1 to 2 years customer service experience in a professional setting required
- Significant computer knowledge and proficiency with Microsoft Suite
- Previous work in a college and/or university setting preferred
- General familiarity with social media platforms
Knowledge, Skills, Ability:
- Strong customer service and interpersonal communication skills
- Excellent organization, planning and prioritization skills
- Great attention to detail and resourcefulness
- Ability to multitask and work with a sense of urgency while maintaining composure and professionalism
- Ability to work occasional evenings and/or weekends
- Ability to assist with managing undergraduate and graduate office assistants in daily tasking
ESSENTIAL FUNCTIONS:
- Delivers the HPU experience and reinforces best practices developed by the Manager and Senior Director to run a “front of house” operation that includes open internal communication and consistent responses when assisting phone call, email, social media, and walk-up guests. Serves as facility manager for the Office of Student Life suite.
- Ensures that all inquiries are addressed in a timely manner and that all responses are consistent and accurate.
- Manages daily tasks to include appointment scheduling, returning voicemails/emails, travel card reconciliations, supply ordering, etc.
- Assists with maintaining office equipment, monitoring inventory levels, and ordering supplies for the office as requested.
- Hires and trains all student staff to ensure they are delivering accurate and efficient service to students, parents, and other stakeholder
- Assists with maintaining a clean and organized reception area
- Collaborate with various departments to ensure a positive and quick resolution to issues and concerns.
- Completes submissions of work orders, IT service tickets, catering requests, room reservations, etc. to support office-wide events as requested by students, parents, and Office of Student Life staff.
- Assists with administrative tasks associated with major functions such as Move-In (Summer Advantage & August), closing out the campus for end of year
- Understands and completes communication tracking systems.
- Reports directly to the Manager of Student Life Business Operations and communicates any issues that arise in a timely manner.
- Assists with updating internal office resources and documents.
- May assist with managing the Office if Student Life social media account(s).
- Other duties as assigned.
ACCOUNTABILITY:
- Represents the HPU experience and brand as the first point of contact for the Office of Student Life.
- Maintains and up-to-date knowledge of the university calendar, important deadlines, departmental communication campaigns, and university resources
- Recognizes sensitive internal information and exercises complete discretion when assisting in private matters
- Able to works under limited supervision at times
