We are seeking qualified candidates for the Corporate Administrative Support role to support MOREgroup and our brands, which include: E4H Environments for Health Architecture, Huckabee, IEG and TSK.
RESPONSIBILITIES:
- Assist Project Practice team with administrative duties
- Maintain both paper and electronic filing system while supporting the company document archiving initiatives
- Prepare and update Consultant records for Master Service Agreements and Certificates of Insurance
- Compose, finalize, coordinate with authorized signer for execution and process executed Owner/Architect Agreements and AIA documents with the Contract Review Team
- Work with Insurance carrier to obtain Certificates of Insurance
- Maintain Owner/Architect tracking log and distribute on weekly basis to Office Directors, and bi-weekly basis for another specified group
- Upload redacted versions of executed Owner/Architect Agreements to ACC
- Assist Principals with A Series AIA (Owner/Contractor) Contract documents
- Coordinate and maintain the Geotech/SITA consultant database and facilitate Geotech/SITA RFQ process
- Assist in developing and maintaining the Consultant database, coordinating meetings and peer reviews for the Consultant Partnership Program
- Coordinate review and execution of Consultant Proposals/Agreements
- Assist Regional Administration team for lunches, meetings, events, and phone rotation
- Work alongside Marketing team to facilitate the HUB Subcontracting Plan (HSP) process by completing HSP forms and compiling subcontractor Statement of Qualifications responses for Principal review
- Aid in the creation of monthly office update summaries
- Assist with setting and maintaining written corporate administration processes
- Assist with drafting corporate legal documents and contracts, correspondence, policies, and procedures
- Help to keep MOREgroup entities in compliance by ensuring Business registration, License and Tax Certificate renewals, Secretary of State Updates, and various other legal registrations are up to date
- Assist in maintaining SAM.gov registrations and renewals
- Assist Director of Corporate Administration with updating and maintaining written processes and templates
REQUIREMENTS:
- 5+ years of administrative experience in a professional services environment
- Advanced MSOffice skills required and knowledge of general administrative protocols
- Bluebeam experience preferred
- Excellent attention to detail
- Ability to work independently as well as collaboratively in a team environment
- Exhibit a can-do attitude and remain positive under pressure
- Professional appearance
