Corporate Events and Community Relations Manager - Fruit of the Loom, Inc.

Position Summary
The Corporate Events Manager is responsible for managing the planning and execution of company sponsored events within a fast-paced corporate environment. The incumbent actively develops and maintains local community and charitable partnerships, represents the Company at local events (including evenings and weekends), and communicates the Company’s local impact stories. Additional responsibilities include managing corporate donations.
Specific Responsibilities
Corporate Events:
• Direct liaison with venue contacts from pre-planning phase to onsite executions. Evaluate and select vendors/suppliers/sponsors, negotiate contracts, book event space, arrange food and beverage, order supplies and audiovisual equipment, make travel arrangements, order event signage, and ensure appropriate décor (floral, linens, color schemes, etc.) meet the quality expectations of specific event sponsors and guests. Create and revise as necessary room layouts for each event. Maintain inventory of event assets and materials.
• Oversee completion of all tasks to ensure event success; prepare materials, notebooks, packages, gift bags, registration lists, nametags, seating cards, etc. Process and track shipments of products and support items to external venues as needed. At the conclusion of each event, prepare and maintain a library of detailed notebook capturing all details and images of a specific event. Conduct post-event reporting on experience and best practices.
• Collaborate with event colleagues to develop a detailed work plan and timeline for each event. Coordinate the scheduling of events and associated appointments. Assist as necessary with managing on-site production of events. Provide regular feedback and updates on event timeline progress to appropriate management.
• Establish budgets and provide periodic progress reports to event staff and internal management for each event project. Keep track of event finances including check requests, prepayments, debit memos, purchase orders, receiving documents, invoicing, and reporting. Conduct monthly departmental budget analysis and tracking.
• Administrator for Service Award program for all hourly employees in US, Canada and Puerto Rico.
• Provide assistance to other HR team members that manage Talent Development and YPP programs.
Community Relations (Threads of Change):
+ Generate employee engagement for, and participation in corporate/charity/community opportunities and events.
+ Serve as corporate representative and liaison at various community and charitable events.
+ Establish and manage HQ donation policy and procedures to guide the Donations Review Committee.
+ Track, monitor and provide regular executive management reports of HQ contributions of product, cash, projects, and related volunteer hours. Expand similar data capture globally via development of an IT SharePoint or similar site for all facilities. Meets periodically with global HR to understand region Threads of Change efforts,
+ Manage the online donation submissions portal while adhering to an approved annual budget. Work in conjunction with the Donations Review Committee for approvals and to submit and review required financial reporting.
Corporate Global Intranet Content :
Assist with ensuring articles from global locations are assigned to employees in HR for review and editing. Assist in ensuring content is uploaded to appropriate site.
Minimum Qualifications
+ Bachelor’s degree required or equivalent work experience
+ Excellent communication skills, including writing, proof reading skills, and speaking.
+ Must be able to anticipate project needs, discern work priorities, and meet deadlines with minimal supervision.
+ Ability to manage multiple projects and work assignments from a variety of staff and volunteers.
+ Willing to work occasional evenings and weekends, with travel requirements as necessary for set-up, execution and dismantle.
+ Ability to work cooperatively within a diverse team environment.
+ Excellent interpersonal skills both in person and by phone, with high professionalism.
+ Exceptional customer service ethic and high expectations for quality.
+ Have a love for special event management, provide outstanding customer service, be an enthusiastic professional, and be able to build relationships with internal and external customers.
+ Proficient in all Microsoft Office applications.
Minimum Job Experience Required
+ 3+ years of event planning and/or community relations experience.
