About the Job
The ideal candidate for the Custom Fit Coordinator (Coordinator III) position within the Technical Design and Technical Education Department (TDTE) at the USU Blanding Campus will play a critical role in conducting industry job and training needs analysis and establishing training agreements to address those needs. This position will be responsible for planning and designing performance-based training for companies and industries in San Juan and Grand Counties, coordinating with instructors and industry to develop and deliver customized training plans. The coordinator will also maintain Custom Fit industry project and training records to ensure compliance with state and institutional requirements, processes, procedures, and reporting.
In addition to these core responsibilities, the role involves a variety of advanced office support tasks, including managing phone calls, welcoming visitors and students, addressing inquiries, and handling clerical duties such as data entry, spreadsheet management, and word processing. The precise completion of paperwork and filing, both electronically and manually, with minimal errors is essential, as is strong organizational ability for effective file management across diverse programs.
The ideal candidate should be comfortable communicating via phone and email, possess strong verbal and written communication skills, and demonstrate proficiency in Microsoft Suite, including Database, Excel, Word, PowerPoint, and Outlook, or similar software. Additionally, occasional participation in campus activities or meetings related to the TDTE mission outside regular office hours may be required. The role may also involve creating charts and performing other assigned duties as needed.
Responsibilities:- Provides support to administrators, faculty, academic, and/or research staff.
- Perform office management duties, including managing schedules/calendars, scheduling meetings, creating and processing forms, and keeping records as appropriate.
- Provide training, instruction, liaison services and/or consultation to students, faculty, and/or staff in the use of specialized services.
- Write, edit, and coordinate the development of promotional materials, educational materials, training manuals, newsletters, and/or brochures, as requested.
- Participate in the development and implementation of policies and procedures.
- Coordinate program/department activities including, conferences and events.
- Coordinate and oversee the day-to-day management of supplies, equipment, and facilities for the organization.
- Maintain and update software.
- Schedule the use of classrooms and facilities.
- Coordinate and promote a program and its activities.
- Maintain and create content for a website and social media.
- Hire, train, supervise, and evaluate employees.
- Calculate and prepare monthly budget reports.
- Create contracts and itineraries and book travel and lodging for guests.
- Performs miscellaneous job-related duties as assigned.
Minimum Qualifications:
- Four years of experience; or an associate degree plus two years of experience; or a bachelor’s degree is required.
Knowledge, Skills, and Abilities:
- Skilled in the use of computers.
- Ability to create, compose, and edit written materials.
- Skilled at records maintenance.
- Knowledge of supplies, equipment, and/or services ordering and inventory control.
- Database management skills.
- Knowledge of office management principles and procedures.
- Ability to foster effective working relationships within a team environment.
- Ability to make administrative/procedural decisions and judgments.
- Ability to coordinate and organize meetings and/or special events.
- Knowledge of communication principles, media, and marketing techniques.
- Knowledge of University policies and procedures.
