Position Description:
The Customer Service/Operations Specialist is responsible for answering phones and greeting guests. They play a large role in creating a first impression of the company via in-person and phone interactions with customers, employees, vendors, and guests. Communicates warmly, clearly, and effectively. The Customer Service/Office Specialist helps customers solve product and service-related issues by phone and email. The Customer Service/Office Specialist works closely with the Customer Operations team. This position reports to the Customer Operations Manager.

The Customer Service/Operations Specialist is responsible for answering phones and greeting guests. Communicates warmly, clearly, and effectively. The Customer Service/Office Specialist helps customers solve product and service-related issues by phone and email. The Customer Service/Office Specialist works closely with the Customer Operations team. This position reports to the Customer Operations Manager.
Responsibilities:
- Provides the best customer service possible, both internally and externally
- Communicates warmly, clearly, and effectively
- Has a pleasant demeanor and positive attitude
- Listens attentively and has patience when working with both internal and external customers
- Helps customers solve their product and or service-related issues by phone and email
- Finds answers to customer questions in an efficient manner
- Assists all internal customers (i.e. sales/service staff, production staff, lab staff and dispensing staff)
- Processes sales and sample orders
- Enter sales, samples and dispensing orders into Daily Sales Order Report and Ship Log
- Answer phones and greet visitors
- Sorts and distributes incoming mail/packages
- Orders office and kitchen supplies
- Prepares staff birthday cards
- Orders logo apparel for staff
- Prepares and distributes customer pricing letters
- Coordinates the purchase and shipment of holiday gifts
- Creates shipment labels for holiday gifts
- Creates and distributes holiday on-call schedule
- Other duties as assigned by the Customer Operations Manager
Skills and Qualifications
- Excellent communication (both written and verbal) and interpersonal skills
- Conflict resolution skills and the ability to think on one’s feet
- Friendly, outgoing personality
- Strong attention to detail
- Very proficient in using the following computer software: Microsoft Office (Word, Excel, PowerPoint, and Access)
- Excellent organizational skills
- Fluency in spoken and written English

- Provide consistently accurate service
- Ability to follow through and to help with tasks as a team player

Education and Experience
- Two (2) year college degree preferred AND/OR at least five (5) years’ experience in customer service/office coordination activities, or an equivalent combination of education and experience

Physical Requirements
- Position requires frequent reaching, bending, standing and sitting for prolonged periods
- Ability to lift 40 pounds unassisted
Travel
- This position requires no travel
