A Day in the Life as a Customer Service Representative Dispatcher
The CSR Dispatcher position schedules and books the service or sales appointments when clients and prospects call, develop profitable sales and acquire customers through our established sales and marketing program, identify new business opportunities by performing direct sales activities and providing support to the administrative personnel as requested. In addition, the position dispatches, manages and allocates resources to meet the expectations of our clients, processes paperwork from service techs, payments from the customers and respects the confidentiality of all information that they come in contact with, and develops self-generated leads through networking, data mining (from existing client records) and referral generation from previous clients.
Additional responsibilities of the CSR Dispatcher include answering the phone promptly and professionally, calling customers to confirm maintenance appointments and scheduling as necessary, and working closely with service manager to coordinate scheduling and dispatch. In addition, our CSR Dispatcher sells new service agreements and renews existing service agreements, grows, monitors, and maintains the maintenance programs; updates change in ownership, adds new install job information and reviews reasons for non-renewals. Our CSR Dispatcher receives, records, and maintains sales lead information, sets appointments as necessary, communicates clearly, precisely, and in a friendly manner, and ensures the accurate capture, data entry and maintenance of customer information. They work closely with the service, IAQ and sales departments, recognizing and identifying possible sales opportunities facilitating appropriate follow up and alert managers quickly to significant customer issues.
What you Need to be Qualified for the Customer Service Representative Dispatcher Position
In order to be qualified for the CSR Dispatcher position, a minimum of 2 years' customer service and/or dispatch is required, preferably in the HVAC industry. Our CSR Dispatcher must have the ability to learn our products and services being offered, which may require additional study and training both on and off site. And they must continuously improve their knowledge of HVAC work, and how Infinity Texas Air operates to benefit the customer. Our CSR Dispatcher must communicate effectively with associates, superiors, vendors and customers and possess superior interpersonal skills. They must efficiently manage time and schedules and be capable of understanding client needs, and favorably influence their decision. Our CSR Dispatcher must be computer literate to the extent necessary to fulfill the responsibilities; knowledge of Excel and Word is required as is familiarity with the use of smart phones, email and text messaging. Clean, neat and professional appearance is required.
