Job Title: Dental Team Coordinator

Job Summary: We are seeking an organized, proactive, and detail-oriented Dental Team Coordinator to oversee and manage the day-to-day operations of our front office team and support clinical operations within our dental practice. The Dental Team Coordinator will supervise and train the front office staff, ensure excellent patient hospitality, manage scheduling, and ensure smooth coordination between the front office and clinical teams. This role also includes responsibility for dental lab case management, billing processes, and overseeing administrative functions in collaboration with the Dental Practice Manager.

Key Responsibilities:

1. Front Office Supervision and Training:

   • Supervise and manage the front office team, ensuring efficient daily operations.

   • Train and mentor front office staff on best practices, patient hospitality, and dental office procedures.

   • Provide coverage for front office staff when they are absent or unavailable.

2. Patient Scheduling and Coordination:

   • Oversee and manage patient scheduling to optimize clinical team workflow and meet practice goals.

   • Coordinate clinical team schedules to ensure adequate staffing and coverage.

   • Collaborate with the Dental Practice Manager to assess staffing needs and support hiring or scheduling adjustments.

3. Dental Lab Case Management:

   • Monitor and manage dental lab cases to ensure timely handling and communication with the clinical team.

   • Ensure lab cases are processed efficiently and in line with clinical needs.

4. Billing and Compliance:

   • Oversee the posting of all dental charges in accordance with the Medi-Cal Manual of Criteria.

   • Determine if charges are billable or non-billable and ensure accurate submission of claims.

   • Work toward achieving daily patient billable encounter goals.

   • Maintain compliance with OSHA, HIPPA, RHC, Infection Control and state regulations.

5. Remote Team and Chart Audits:

   • Collaborate with remote dental team members to verify patient eligibility and conduct daily chart audits.

   • Ensure the accuracy of patient records and billing documentation.

6. Departmental Coordination and Repairs:

   • Serve as the liaison with Patterson for coordinating repairs and equipment maintenance.

   • Ensure dental department equipment is functioning properly and report issues promptly.

7. Patient Hospitality:

   • Ensure the front office team practices exceptional patient hospitality and creates a welcoming environment for all patients.

   • Address patient inquiries and concerns with a positive and professional attitude.

Qualifications:

• Proven experience in a dental office environment, with at least 2 years in a supervisory or coordinating role.

• Knowledge of Medi-Cal Manual of Criteria, dental billing procedures, and compliance regulations.

• Strong organizational and leadership skills with the ability to manage multiple tasks and priorities.

• Excellent communication skills with a focus on patient service and team collaboration.

• Proficient in dental software systems (e.g., Dentrix) and general office technology.

• Ability to train, mentor, and inspire a team to provide exceptional patient care and service.

Preferred Qualifications:

• Experience with dental practice management and remote team collaboration.

• Familiarity with dental lab case workflows and scheduling systems.
