What you'll do:You will be responsible for supporting the staff in our Denver office with direct accountabilities to the facilities and finance teams. Your attention to detail and focus on tasks will help you be successful with a broad range of administrative duties ensuring the office runs smoothly. You will be a valued member of a wonderfully collaborative group of people striving for excellence.
The day-to-day:Facilities/Administrative focus
- Support facilities space planning function, verify seat assignments, administration of our global office space reservation system (Condeco), coordinate/execute staff moves, etc.
- Monitor common areas to ensure daily preparation and tidiness (conference rooms, kitchenettes, restrooms, break room, printing stations, etc.)
- Maintain archiving process of all documents to be stored off-site.
- Submit work orders using web-based facilities maintenance management system.
- Submit purchase orders using spending management platform.
- Support shipping/receiving, mail room, front desk and visitor/contractor.
- Purchase business supplies, beverages, snacks, and lunches through company P-Card
- Coordinate on-site and off-site virtual and in-person meetings, including scheduling, catering, etc.
- Develop and maintain budget for Denver office activities.
- Plan, coordinate and execute miscellaneous business area events for employees and customers (e.g. on/off-site lunches, conferences, happy hours, social activities, holiday parties, etc.).
- Accountable to maintain and manage company issued p-card (procurement card)
- Serve as a notary
Finance tasks
- Work with PII and other sensitive and confidential information.
- Receive/sort large volumes of incoming corporate finance US Mail.
- Receive customer bankruptcy notices, flag/update customer accounts within business systems as necessary.
- Responsible to record/process/deposit business checks both in person at the bank and remote.
- 5+ years of administrative support or related experience
- Ability to work onsite in the Denver office at least 3 days per week
- Advanced experience in Microsoft Office Suite and web-based conference tools such as Zoom and/or Slack
- Ability to handle sensitive information with professionalism and confidentiality
- Highly motivated to learn and can adapt quickly to ever changing priorities
- Meticulous attention to detail
- Self starter and able to work with minimal supervision
- Strong communication skills and experience working cross functionally across various departments
- Reliable personal transportation
- Willingness to receive notary certification if not already an authorized notary
- Open mind and curiosity to learn new technologies and new skills
- Ability to identify the most critical tasks and personal accountability to resolve work items
- Previous office manager or administrative assistant experience
