POSITION PURPOSE:
Manages, initiates, prepares, and processes all related budget documents for the Print Shop (i.e. direct pay, purchase orders, travels sheets, etc.) First point of contact for school and department staff, responsible for providing customer service by writing correspondence, emailing, providing support to visitors, routing phone calls and responding to inquiries and request. Responsible for file preflight, digital storefront administration, web-based submissions, email bases submission, light graphic design work.
MINIMUM QUALIFICATIONS:
KNOWLEDGE, SKILLS, AND ABILITIES (KSAs)
- Considerable knowledge of generally accepted accounting practices and principles;
- Considerable knowledge of Microsoft Office, specifically Word, Excel, PowerPoint; Google apps;
- Knowledge of various print file formats and printing operations;
- Strong skills in budgeting, purchasing, and procurement procedures.
- Critical thinking and problem-solving skills;
- Excellent customer service skills with the ability to calmly route concerns to appropriate staff:
- Ability to work independently without close supervision
- Ability to operate accounting systems for data management, problem resolution, and information research;
- Ability to meet deadlines;
- Ability to communicate clearly and concisely both in oral and written form using a variety of communication techniques and tools to ensure the appropriate flow of information, collaborative efforts, and feedback;
- Ability to proofread documents and prepare clear and comprehensive reports;
- Ability to exercise independent initiative to perform both original and recurring assignments, and exercise judgment in the absence of clear directives;
- Ability to establish and maintain effective working relationships with school system staff, external agencies, vendors, and the community.
EDUCATION, TRAINING, AND EXPERIENCE
- Associate’s degree in accounting or business; AND
- Five years of experience in finance, accounting, or related field; AND
- An equivalent combination of education and relevant experience sufficient to successfully perform the essential duties of the job.
CERTIFICATION AND LICENSE REQUIREMENTS
- Complete safety training according to the Occupational Safety and Health Administration (OSHA) standards within 30 days of hire.
PREFERRED QUALIFICATIONS:
- Experience in print, production, and finishing;
- Knowledge of Wake County Public School System (WCPSS) financial systems and processes;
- Experience working with Oracle business applications.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Responsible for Print Shop front office business operations directly related to customer intake of job orders, job quotes, and assuring timely and accurate invoice billing of customer jobs.
- Manages, initiates, prepares, and processes all related budget documents for the Print Shop (i.e., contracts, direct pay, purchase orders, travels sheets, etc.)
- Prepares and processes internal and external receivables and vendor invoices.
- Reconciles and monitors Print Shops receivable accounts.
- Reconciles vendor statements and invoice payments with WCPSS financial system ledger.
- Performs preflight functions, as needed, to customer-based files.
- Assists with small design work, as assigned.
- Provides print job estimates for customers.
- Manages digital storefront web-based request for service.
- Manages Print Shop email accounts.
- Provides consistent, high quality customer service and offers solutions.
- Performs other duties, as assigned.
WORK ENVIRONMENT/PHYSICAL REQUIREMENTS
This position operates in a professional office environment. This role routinely uses standard office equipment such as computers, scanners, and copiers. The position, at times, must be able to come into direct contact with school system staff, staff members of external agencies, and the community. Work is considered light physical work, requiring the exertion of up to ten pounds of force. Due to the printing process, there is exposure to Volatile Organic Compounds (VOC) and organic Hazardous Air Pollutants (HAP) contained in the inks.
