Job description
The Director of Finance and Administration will play a critical role in partnering with senior leadership at two small live event production companies, and be a strategic thought-partner as Preston Productions and Launch Productions continue to grow. This is a tremendous opportunity for a finance and operations leader to contribute to the overall strategic goals and strengthen the internal competence of two well-respected small businesses.
The successful candidate will be a hands-on and participative manager and will lead the following areas: Finance & Accounting, 401(k) administration, Budgeting, Business Planning & Forecasting, Insurance and Risk, Human Resources, and General Business Administration.
Requirements
- Bachelor's degree in Finance, Accounting, Business Administration, or a related field; MBA or CPA preferred
- At least 4 years of experience in finance and administration, ideally with 2+ years in broad financial and operations management.
- Strong knowledge of accounting principles, financial reporting, and internal controls
- Proficiency in Quickbooks
- Ability to translate financial concepts and collaborate effectively with non-finance colleagues
- Technology-savvy with experience selecting and overseeing software installations and managing software vendor relationships
- Excellent communication and relationship-building skills
- Ability to manage multiple projects simultaneously

Key Responsibilities
Financial & Accounting Management:
- Prepare, analyze and present financial reports accurately and timely as well as communicate monthly and annual financial statements to upper management
- Collaborate and oversee the accounting team to complete the month-end close, monthly and year-to-date financial statements.
- Oversee billing, A/R, A/P, GL, inventory accounting, and revenue recognition.
- Maintain weekly cash flow and forecasting.
- Collaborate with the outside CPA for the annual financial statements review.
- Track and pay Sales and Use Tax
- Oversee Purchase Orders
- Ensure compliance with bank covenants.
- Administer and review all financial plans and budgets; monitor progress and changes, keeping senior leadership informed of the organization’s financial status.
401(k) Account Management:
- Manage 401(k) administration, compliance, and annual audits.
Executive & Administrative Services:
- Provide strategic solutions and problem-solving for special projects as requested.
- Manage and oversee policies related to outside vendors for payroll services, 401(k) investments, and legal services.
- Stay updated on legislation affecting the company; create executive management summaries, present strategies to executives, and create approved policies and procedures for company-wide implementation.
- Implement and maintain contract management.
- Work closely and transparently with all external partners, including third-party vendors and consultants.
- Collaborate with other departments to achieve organizational goals by providing process improvements, technology recommendations, tools, and resources as approved by senior management.
- Provide high-level administrative support to the President
Insurance & Risk Assessment:
- Work with insurance brokers to complete insurance applications, renewals, claims, and annual audits (including health, property, liability, business, inland marine, vehicle and workers' compensation).
- Ensure timely filing and resolution of claims and maintain accurate records.
Human Resources Management:
- Oversee all HR functions, including recruitment, onboarding, employee relations, safety, performance management, and compliance with labor laws and regulations.
- Provide strategic HR consulting to align HR initiatives with business goals.
- Further develop the company’s human resources and administration, enhancing professional development, compensation and benefits, performance evaluation, training, and recruiting.
- Work with legal counsel as necessary to resolve legal issues; provide summaries and strategies to the President
- Oversee and consult with the HR Manager on employee relations and investigations.
- Manage Workers' Compensation claims and investigations
- Oversee the implementation of annual Employee Handbook revisions
Sales Department Oversight:
- Support the sales department to ensure the accurate and timely processing of invoices.
- Implement process improvements to enhance order management efficiency and customer satisfaction.
Information Technology & Administration:
- Work with outside vendors to manage technology implementation and security.
- Communicate processes and protocols for technology support to employees.
Qualifications:

Compensation
The salary range for this position is $85,000 - $110,000. This position is primarily remote, however applicants should expect to attend quarterly in person meetings in Los Angeles and preference may be given to local applicants. Employees receive half of their health insurance covered and the company also offers vision and dental options. 100% of health insurance covered by employer starting 1/1/2025. The position comes with 4 weeks of paid vacation. This position is responsible for the finance and administration of two companies.
