About the Job
The Nantucket Maria Mitchell Association (MMA) is looking for an experienced and detail-oriented Finance Director to lead and manage the financial operations of the organization. Reporting to the Executive Director, the Finance Director, will play a key role in ensuring the fiscal health of the MMA, overseeing the financial strategy, reporting, and operations that support MMA’s mission of supporting a life-long passion for science through education, research, and first-hand exploration of the land, sky, and sea of Nantucket Island. The Finance Director will be responsible for managing the MMA’s financial planning, budgeting, accounting, and reporting function. This role requires a skilled professional with a strong financial acumen, excellent organizational abilities, and a commitment to maintaining the integrity of the MMA’s financial operations. The successful candidate will also closely collaborate with the senior leadership team to ensure financial resources are aligned with the organization’s strategic goals.
Key Responsibilities and Duties:
Financial Operations
- Accounts Payable & Accounts Receivable Management: Oversee the accounts payable and receivable functions, including processing invoices and statements, tracking vendor payments, and managing project-related financial transactions. Prepare invoices as needed and ensure timely processing
- Income & Expenditure Allocation: Ensure that all income and expenditures are accurately allocated to the correct accounts, reflecting the organization's financial activities appropriately
- Grant & Restricted Fund Management: Track and report on grants and restricted funds, ensuring proper allocation and compliance with donor restrictions and reporting requirements
- Payroll Management: Process payroll through Rippling, ensuring accurate calculations of employee wages, withholdings, deductions, and tax payments. Ensure compliance with federal, state, and local tax laws
- Bank Reconciliation: Reconcile MMA’s bank accounts on a bi-weekly and monthly basis to ensure accuracy in cash balances and proper financial reporting
- Financial Reporting & Forecasting: Prepare monthly and annual financial reports for the Executive Director, Board of Directors, and department managers, providing insight into financial performance, trends, and projections
- Budgeting: Assist the Executive Director and department managers in the preparation of the annual budget, ensuring financial resources are allocated in alignment with organizational priorities
- Annual Audit & Tax Filing Coordination: Collaborate with the organization’s external accountant to facilitate the annual audit process and ensure the timely preparation and submission of Form 990 (federal tax return) and Form PC (state tax return), as well as any other necessary financial statements
- Sales Tax Compliance: Calculate and remit state sales tax payments on a quarterly basis, ensuring compliance with all state and local tax regulations
- Record Retention & Compliance: Maintain proper documentation and financial records in accordance with MMA's record retention policies and nonprofit financial regulations
- Cash Flow Management: Monitor cash flow to ensure the organization maintains sufficient funds for daily operations, ensuring financial stability and liquidity
Human Resource Administration
- Employee Onboarding & Offboarding: Manage the full employee lifecycle, including the onboarding of new hires and offboarding of departing employees, ensuring all necessary documentation and processes are completed efficiently and in compliance with company policies
- Personnel File Management: Maintain accurate and up-to-date personnel files for all employees. Ensure secure storage, confidentiality, and proper retention of employee data and relevant documentation in accordance with organizational policies and legal requirements
- Policy & Handbook Updates: Regularly review and update employee policies and the employee handbook to ensure compliance with state and federal labor laws, and to reflect best practices in human resources management
- Compensation and Benefits Management: Oversee and coordinate employee benefits programs, including health insurance, retirement plans, and other employee perks. Serve as the point of contact for employees regarding benefits-related inquiries, enrollment, and support
- Labor Law Compliance: Ensure the organization’s compliance with all applicable state and federal labor laws and regulations, including wage and hour laws, non-discrimination policies, and workplace safety regulations
- Employee Reviews & Performance Appraisals: Assist the Executive Director in the coordination and administration of employee performance reviews and appraisals. Help ensure that feedback and performance goals align with organizational objectives and promote employee development
Qualifications:
- Master's degree in business administration (MBA), Accounting, Finance, or a related field is preferred
- Strong understanding of nonprofit organizations, GAAP (Generally Accepted Accounting Principles), and fund accounting
- Advanced proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and QuickBooks
- Familiarity with Altru CRM, BBPS, and BBMS is preferred
- Experience in human resource administration and understanding of payroll and benefits management is a plus
- CPA, CMA, or CFA certifications are preferred, but not required
- Demonstrated ability to provide exceptional leadership and to manage, mentor, and develop finance team members.
- Strong interpersonal skills with the ability to build relationships with staff, board members, donors, and other stakeholders
- Excellent verbal and written communication skills, with the ability to explain complex financial concepts to individuals without a financial background
- Exceptional analytical and organizational skills with a keen attention to detail and the ability to prioritize and manage multiple tasks
- High standards of integrity and ethical conduct, with a commitment to transparency and accountability in financial management
- Ability to translate financial concepts into actionable insights for programmatic and fundraising teams, ensuring financial strategies support MMA’s mission and goals
