Summary/ Objectives: Identifies, develops and maintains property sales and marketing objectives, plan and programs in accordance with the hotel’s mission statement. Manage the day to day operations of the sales office, email, answering phone calls, negotiating rates for group rooms and up-sell food and beverage needs.
Essential Functions:
- Maintain good personal appearance at all times; wear proper uniform and name tag as prescribed by hotel.
- Assists hotel management by acting as “first contact” with all outside creative talent (i.e., photographers, graphic artists, printers) to insure that the target market and image positioning is clearly communicated to all involved in the creation of collateral sales materials and advertizing campaign strategies.
- Maintain high visibility in the surrounding community and in the hospitality community as appropriate within the brand or ownership group.
- Maintains efficient sales office procedures for productive use of time and insures the maintenance of accurate and updated account files and follow-up procedures.
- Monitors and directs sales leads, makes face-to-face sales calls.
- Assist in the creation of the Marketing and Sales plans.
- Maintains all sales systems, such as sales records and reports, conference calendar, traces of history and potentials, logs of groups not previously accommodated and mailing lists.
- Develops design of new programs and campaigns, designed to develop additional sales from the various market segments.
- Ensures the prompt and systematic servicing of all business accounts (i.e., tracing, booking, contracting, communicating with hotel departments and follow up with group for feedback and future bookings)
- Identifies and analyzes competition, both locally and regionally.
- Works with brand and management company team to insure optimum results in cooperative sales, marketing and advertizing campaigns.
- Must be service-oriented to potential guests and fellow hotel staff members.
- Respond to customer needs, issues, comments and problems in a friendly and positive manner to ensure a quality experience and enhance future sales prospects.
- Make outside sales calls and telephone sales calls to secure meeting room and related sleeping room business, following departmental budgetary guidelines.
- Assist GM and Executive Chef in the development and implementation of selected meeting room, restaurant, bar and hotel promotions.
- Development and implementation of selected advertizing for group sales and individual business travelers.
- Set up group blocks and Local Negotiated Business Accounts through proper hotel channels.
- Assist and meet with clients to finalize room set-ups, menus, equipment requirements and sleeping room needs.
- Prepare and attend to the details of bookings, meeting rooms and group contracts and other correspondence.
- Personally inspect the meeting rooms prior to each event to ensure that the set-ups are correct and to meet with the meeting planner to offer personal; service to him/her to ensure a successful event.
- Post meeting room charges (rental, equipment rental, food and beverage and service fees).
- Prepare the bill, event letter and evaluation form for the meeting planner in a timely manner.
- Assist clients with the set up of direct bill statues, collect all necessary credit references and forward to corporate office for approval and set up account on PMS once approved.
- Review reader board activities at all competitive hotels.
- Oversee banquet staff in all aspects of banquet service for all sales groups and convention space groups.
- Regular and predictable attendance is an essential function of the position.
Minimum Requirements:
Have a minimum of one year of hotel sales or management experience.
