About the Job
The Dispatch Customer Service Representative (CSR) plays a key role in our work of transporting clients to needed care within our contracted areas. Acting as the first point of contact for care facilities and drivers, this position will assist Dispatchers with daily customer service and administrative tasks.
Essential Duties and Responsibilities:
- Receive electronic notices for requested trips, recording significant information.
- Call both referring and receiving facilities to confirm transport needs and client information, fielding follow-up calls as needed.
- Provide accurate, valid and complete information by using Smartsheet and software/apps.
- Provide timely and accurate responses to Dispatchers and Dispatch Supervisor.
- Maintain data entry needs, managing call logs, driver availability, client information, etc., prioritizing HIPAA related confidentiality.
- Follow up and sychronize trip details with parent/guardian for clients under 18 or who need a caregiver alongside.
- Report recurring problems to Dispatch Supervisor and Director of Operations for team discussion.
- Work collaboratively with Director of Operations and Field Supervisors to update and maintain a list of facility contacts and current drivers.
- Act as back-up for dispatcher absences.
- Other duties as assigned by the Dispatch Supervisor, DO, or other leadership.
Requirements:
- Minimum of a high school diploma or equivalent.
- 1-3 years of demonstrated customer service and/or dispatch experience.
- Competency in Microsoft applications and other software platforms.
- Tech-savvy, good typing skills, and experience with data entry.
- Operate in a highly stressful environment adapting and making decisions as needed.
- Ability to multi-task, interpreting on-going problems and suggesting possible solutions.
- Motivated with a positive attitude.
- Strong attention to detail and organizational skills.
