About the Job
The Document Control Specialist ensures all record-keeping adheres to the Quality Management System (QMS) and customer requirements, maintaining accuracy and completeness. Responsibilities include updating, archiving, and auditing controlled documents, coordinating documentation for outgoing products, and supporting internal and external audits.
Key Responsibilities:
- Maintain directories of all controlled document locations (digital and physical).
- Update controlled documents as part of the Engineering Change Order (ECO) process.
- Archive obsolete documents to prevent general access to outdated materials.
- Review records for completeness and accuracy, routing incomplete records for correction.
- Scan and retain completed records, report on trends/issues for supervisory action.
- Periodically audit records to ensure accuracy.
- Develop In-Process Inspection worksheets with engineering specifications.
- Assist in creating and updating work instructions with engineering input.
- Track controlled documents through final approval and ensure proper record-keeping.
- Manage documentation for travelers/routers and update their status for external service providers.
- Coordinate certifications for outgoing products and gather necessary documentation.
- Obtain and retain certification documents from external material and service providers.
- Ensure readiness for external audits and assist in gathering evidence.
- Support internal audits, including finalizing audit reports.
- Track and report on quality department metrics.
Continual Improvement Support:
- Organize, track, and report on continual improvement projects.
- Assign responsibilities, enforce Plan-Do-Check-Act (PDCA) methodology, and report on project outcomes.
Qualifications:
- High school diploma or equivalent required;college coursework preferred.
- Experience in manufacturing, ideally in a regulated industry.
