Documentation Manager
Reports to: Director of Project Management
Term: Full Time
Overview:
The Documentation Manager is responsible for establishing an overarching documentation strategy for the organization. This includes creating and enforcing company standards for templates, branding guidelines, content management procedures, document control procedures, and user/customer experience (UX/CX) documentation. The Documentation Manager will also act as editor for all outward-facing documentation, ensuring quality management and a cohesive voice. They will mentor junior-level technical writing staff and provide input for curriculum for employee development.
Responsibilities:
• Facilitate the creation, review, and maintenance of all company documentation.
• Develop user guides, help files, and any other end-user documentation needed for company projects
• Edit all outward-facing documents, including marketing and customer support material.
• Assist with the construction of training curriculum.
• Establish and maintain document development, management, and publishing policies, standards, and templates.
• Develop and implement document workflow procedures, including best practices for managing content lifecycle.
• Establish a content management strategy for the organization.
• Develop and implement content strategies with a focus on accessibility, ensuring best practices that align with the culture and needs of the Deaf and Hard-of-Hearing community.
• Ensure quality control and branding standards across all organizational documentation.
• Ensure all documentation is accurate, up-to-date, and easily accessible.
• Train employees on document and template usage.
• Act as an advocate for change management processes and employee engagement through documentation.
• All other duties as assigned.
Qualifications and Education:
• Bachelor's degree in English, Technical Writing, or a related field (Communications, Journalism, etc.).
• At least five years of experience as a Senior Technical Writer, Editor, or Documentation Manager.
• Proven experience managing a team of technical writers and documentation specialists, providing services in an IT driven environment with project-related deliverables.
Strong experience with content management systems.
• Experience developing, organizing, and editing technical documentation, including user-facing and training documents.
• Experience working in a project-driven environment with both Agile and Waterfall methodologies.
• Proficient in content management software such as Confluence and SharePoint or similar.
• Strong organizational skills, with the ability to handle multiple projects simultaneously.
• Exceptional analytical and problem-solving skills.
• The person holding this position must remain current with all required certifications and continuing education requirements.
Education Substitution:
Master's Degree may be substituted for two years of required experience with a bachelor’s degree.
Bachelor's Degree may be substituted for four years of required experience with a H.S. Diploma.
Associate’s degree may be substituted for two years of required experience with a H.S. Diploma.
