The Straz Center for the Performing Arts, located along the beautiful Riverwalk in downtown Tampa, Florida, is one of the largest performing arts centers in the southeastern United States. The Education Administrative Supervisor is an integral part of the Education Team reporting to the Vice President of Education and Community Engagement and provides administrative, fiscal and clerical support to the Education Department of the Patel Conservatory.
Essential Functions:
Administrative Tasks:
- Coordinates meetings and calendar management, compiles enrollment and tuition data, handles mail, organizes supplies, maintains files, and assists with report preparation.
- Records and distributes minutes for various departmental meetings, collects data for reports, and manages accreditation data.
Fiscal Management:
- Handles certificates of insurance, contracts, invoices, deposits, and donation requests.
- Assists with financial tasks, including P-card administration, tracking expenses, supporting the ASAP database, and managing scholarship processes.
- Acts as a liaison to HR and Payroll for hiring and contract management, tracks budget spending, and assists with Conservatory event settlements.
Business Systems:
- Provides system support, troubleshoots issues, ensures data security compliance, and generates department reports.
General Duties:
- Offers support during peak admission seasons, summer camps, and special events.
- Conducts research, coordinates departmental functions, and supports overall Conservatory operations.
Supervisory Responsibilities:
- This position has no supervisory responsibility.
Education, Work Experience, Qualifications:
- College degree preferred, but not required. Equivalent experience may be substituted.
- Two to three years administrative and project management experience.
- Self-motivated with strong administrative and organizational skills, along with close attention to detail and ability to maintain accurate records.
- Proficient in Microsoft Office applications to include Outlook, Word, Excel, and PowerPoint.
- Effective written and verbal communication skills.
- Ability to work productively in teams and to interact professionally with a diverse group of clients and staff.
- Ability to handle sensitive personal and company information appropriately.
- Availability to work occasional nights and weekends, as required.

Travel:
- Limited travel is expected for this position. May be required to travel to conferences or meetings with vendors on a limited basis.
