JOB SUMMARY
The Education Coordinator works under direction to coordinate the administration of educational programs within a department or unit, including medical student education, graduate student education, internship training, residency training, and postdoctoral fellowship programs.
ESSENTIAL FUNCTIONS
Job Duties:
- Coordinates, supervises, and administers operations of the education programs. Responsible for managing clerical/administrative operations and workflow for maximum efficiency and utilization of resources.
- May supervise clerical and administrative support staff; may oversee training and orientation of staff; may determine work priorities and evaluate work progress and production.
- Develops and oversees budgets related to the education office, including approving expenditures and preparing summaries of financial operations. Tracks expenditures for educational programs, including salaries/stipends and other operational costs.
- Creates, reviews, and maintains policies and procedures in accordance with university and accrediting agency standards to ensure compliance. Interprets policies for faculty, staff, residents, fellows, and students.
- Maintains records and documentation of activities of program participants, including appointments, terminations, performance evaluations, credentialing, malpractice coverage, recommendations, and verification of training. Prepares complex reports and surveys for university administration and/or accrediting agencies regarding statistical information on education programs.
- Manages recruitment and admission activities, including coordinating production of brochures/recruitment materials, overseeing the interview process, maintaining records of applicants, and preparing reports on admissions activities.
- Responsible for the design, execution, and effectiveness of an internal control system that ensures effective operations, asset protection, and reliable financial information.
- Ensures compliance with applicable laws, regulations, policies, and procedures.
- As directed, may process online forms for payroll, vacation/sick leave requests, malpractice insurance payments, supply ordering, and other operational needs. May assist in monitoring program expenditures.
- Performs other duties as assigned.
QUALIFICATIONS
Education and Experience:
- Education: High School Diploma or GED required.
- Experience: 4 years of related experience.
Knowledge, Skills, and Abilities:
- Ability to supervise staff effectively.
- Strong communication skills for interacting with various levels of internal and external contacts regarding policies and procedures.
- Competence in coordinating and directing various functions related to educational programs.
- Proficiency in interpreting and ensuring adherence to all policies and procedures.
- Skilled in maintaining records and documentation related to program activities.
- Ability to handle confidential information daily.
- Proficiency with computers, office equipment, and related tasks.
