About the Job
Applications are being accepted for an Elections Coordinator for the Town Clerk’s Office.
Essential Responsibilities:
- This individual will assist the Town Clerk in the responsibilities of the administration of fair and accurate elections, and census.
- Performs responsible functions, following procedures which are generally defined by precedent or established guidelines and state law, but which require the exercise of judgement and initiative in certain situations.
- Coordinate and administer federal, state and local elections with the Town Clerk; collaborate with Town Clerk to oversee, direct and manage all election functions; establish methods and best practices for the maintenance and safeguarding of election records.
- Supervises the development, update and maintenance of the resident voter list and submits required information to the Commonwealth using the Central Voter Registry computer system (VRIS). Coordinates polling location scheduling and preparation for upcoming elections; responsible for insuring that all polling locations meet Federal ADA standards.
- Supervises election materials, ballots, supplies and equipment for all sites; supervises election workers and payroll for poll workers. Assists with recruitment and training of election workers as needed. Assists with the preparation of election results and records in Town records.
- May be required to work some weekend and extra weekday hours during election periods (depending on State requirements for early voting).
- Cross train on Town Clerk office responsibilities such as: Dog Licenses, Business Certificates, Vital Records, Agendas, Appeals.
- Assists with certifying signatures on nomination papers and petitions
- Assists with opening, sorting and processing annual city census
- Assists with filing completed voter registration cards
- Assists with mailing voter registration acknowledgement letters
- Assists in-person absentee voters/early voters: verifies voter’s signature, residence and voter status, provides voter with the required paperwork and verifies its completion, provides voter with a ballot, logs the request into the state Voter Registration Information System computer and files the sealed ballot in the designated, secured location.
- Assists with processing mailed absentee/early voting/vote by mail ballot applications: verifies the applications are complete, verifies voter’s signature, residence and voter status, logs the request into the state Voter Registration Information System and mails the required materials to the voter.
- Assists with processing returned absentee/early voting/vote by mail ballots: verifies the signature on signed materials.
- Must be able to lift at least 15 lbs. and occasionally more when moving election equipment. It is sometimes necessary to stand or sit at a keyboard for extended periods of time.
