About the Job
Oak Heart Veterinary Hospital and Emergency at South Saunders is seeking an experienced Veterinary Receptionist to join our 24-hour full-service veterinary hospital serving Raleigh and surrounding areas.
Oak Heart at South Saunders is a 24-hour primary care and emergency practice located inside the beltline of Raleigh. In addition to the state-of-the-art veterinary hospital, the practice houses a boarding/daycare and grooming facility with on-site training.
Exceptional customer service is the most important qualification for this position. While one or more years of veterinary experience is required. A veterinary receptionist is the connection between pet owners and hospital staff, so strong communication skills are needed.
Job Responsibilities:
- Promptly and cheerfully answer incoming calls.
- Handle incoming customer communications (emails, text messages, phone calls).
- Accurately record call information, such as referring vet details.
- Quickly transfer phone calls to a doctor for any medical-related issues.
- Greet customers warmly and urgently upon their arrival at the hospital, announce their presence to the team, and check them in.
- Monitor customer wait times and identify bottlenecks to improve workflow efficiency and reduce future delays.
- Listen to customers’ needs with the intent to understand.
- Take ownership of customer complaints, show empathy, and work to resolve them quickly.
- Anticipate potential issues that might upset customers and proactively address them to ensure business credibility and commitment to service.
- Invite customers to provide feedback by completing a survey.
- Process payments and maintain the accuracy of customers’ personal and financial records, as well as payment history and completion.
- Accompany customers to the exit and thank them for trusting us with their pet’s care.
- Always find creative ways to meet customers’ needs.
- Exy-Vet Experience Preferred
Physical Requirements:
- Ability to stand for extended periods of time.
- Ability to lift, walk, bend, twist, reach, push and squat most of the workday
- The ability to frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 40 pounds with or without accommodation
