Job Summary:
Reporting to the Talent Staffing Manager, the Employee Transaction Specialist will use district policies, practices, and guidelines to accurately and efficiently process all transactions related to staffing, including but not limited to new hire and rehire staffing, retirements and resignations, layoffs and displacements. This position will also evaluate applications from employees to determine that eligibility is in line with established laws, policies and procedures.
The Employee Transaction Specialist will be held accountable for the following responsibilities:
- Complete range of processing activities related to employee staffing transactions, including onboarding and staffing for new hires and rehires, transfers, promotions, demotions, retirements and resignations, layoffs and displacements for assigned CPS networks and departments
- Process initial step and lane placement for new hires, lane applications for existing employees, and PSRP upgrades for existing employees
- Process residency waivers for initial employees and renewals for existing employees
- Complete activities including entering transactions into Peoplesoft, Taleo, the DS2 System and Staffing Services databases; Managing data accuracy
- Support customers in using related technology, which may include answering customer questions and participating in customer training
- Respond to routine queries related to policies and procedures, staffing transactions, and new hire onboarding
- Assist in the support of unionized bidding processes, e.g. Lunchroom Bid Process
- Liaison with Employee Relations and Law for staff-related matters
- Manage incoming forms, faxes and other documents from CPS employees and candidates
- Maintain high levels of quality and accuracy when completing transactions, continually seeking opportunities for process improvement Collaborate with the Staffing Manager on making updates to and maintaining the accuracy of the HR Procedures Manual for new policies, practices, CBAs, etc.
- Regularly collaborate and meet with Employee Transaction Specialist peers to ensure consistency of HR transaction methodologies across the district
- Maintain a broad range of daily tasks and responsibilities related to employee transactions, adjusting work priorities as necessary to ensure the efficient completion of all incoming transactions and customer requests
- Other duties as assigned
In order to be successful and achieve the above responsibilities, the Employee Transaction Specialist must possess the following qualifications:
Education Required:
- High school diploma or GED equivalent, required
- Associate or Bachelor’s degree from an accredited college or university is preferred
Experience Required:
- Minimum of five (5) years of professional experience in a high-volume, administrative support role is required
- General administrative Human Resources experience is preferred
Knowledge, Skills, and Abilities:
- High standards of customer service; Ability to maintain objectivity and confidentiality with highly sensitive information
- Demonstrate high level of integrity, honesty, credibility, and the courage to make difficult yet necessary decisions with limited direction or oversight
- Superior organizational, time management, analytical and problem-solving skills
- Strong communication skills( Written, Verbal, Interpersonal); Capable of interacting and collaborating with various audiences
- Highly skilled in conflict resolution; Capable of receiving and responding to complaints and escalations with an innovative approach leading to positive outcomes
- Proficiency with use of MS Office (Word, Excel, PowerPoint, etc) and Google Suite (Google Sheets, Google Drive, Google Docs, and Gmail)
- Adept at translating data requests to inform operational decisions
- Ability to thrive in a fast-paced, often high-pressure environment while remaining flexible, efficient, and operating with a high level of professionalism
- Ability to learn quickly, manage various tasks and projects while maintaining strong attention to detail, Capable of developing work plans and following through to completion
- Ability to comprehend and adhere to Labor Union contracts
Conditions of Employment
As a condition of employment with the Chicago Public Schools (CPS), employees are required to:
- Establish/Maintain Chicago Residency - Employees are required to live within the geographic boundaries of the City of Chicago within six months of their CPS hire date and maintain residency throughout their employment with the district. The Chicago residency requirement does not apply to temporary/part-time positions, however, all CPS employees must be residents of Illinois.
- Be Fully Vaccinated Against COVID-19 -Unless approved for a medical or religious exemption, all employees are required to be up-to-date on COVID-19 vaccinations, including boosters, and to submit proof of vaccination to the district within 30 days of hire. “Up-to-date” on vaccination is defined as being at least two weeks past all primary vaccine doses and any applicable boosters.
