About the Job
The Grand Lodge of Maryland located in Cockeysville, MD has an immediate opening for a Full-time Exempt Event Coordinator.. This position is required to work 35 hours per week in the office, some after hours and week-ends are required due to the nature of this position. This position will repot to the Grand Secretary. Candidates must have previous experience as a Event Coordinator.
Must have excellent organization, communication, customer service skills. Must be proficient with MS Office. Candidates must submit a resume' to be considered for this position.
Essential Duties/Major Accountabilities:
- Responsible for being the point of contact for all facility rentals.
- Responsible for handling facility requests from lodges and other entities using the facility.
- Responsible for managing all aspects of assigning events.
- Oversee Event Staff.
- Responsible for preparing all contracts for facility rentals and notifying the Accounting Department of the contracts.
- Responsible for collecting all down payments and any other applicable payments relating to facility rentals.
- Must possess excellent customer service, communication and organization skills.
- Prepare monthly calendar of facility rental events and distribute to appropriate parties.
- Responsible for ordering and maintaining an inventory for all cleaning/paper supplies necessary for the facility.
- Must be proficient in MS Software (Word, Excel, Outlook, PowerPoint, etc…)
- Effectively communicate via verbally or email with the Grand Secretary regarding all facility issues/concerns.
- Must be available to work flexible hours as required.

Minimum Required Qualifications:
- Event Management experience is a plus.
- High School Education required. AA Degree in Business preferred.
Additional Knowledge, Skills and Abilities:

- Must be able to read, write, speak, and understand the English language.
- Must possess the ability to deal tactfully with personnel, visitors and the general public.
- Must be knowledgeable of laws, regulations, and guidelines that pertain to facility rentals and event planning.
- Must possess the ability and knowledge to operate basic office equipment; copy machine telephone equipment, main telephone console, calculator, fax machine, computer skills, proficiency with Microsoft Office suite and ability to navigate the internet.
- Must possess and demonstrate thorough knowledge of the principles of office protocol and modern office procedures.
- Must possess a good knowledge of purchasing and inventory controls, ability to understand and interpret rules and regulations, policies and procedures, ability to maintain effective working relationships with others.
- Must present a neat clean appearance.
- Must have patience, tact and cheerful disposition and enthusiasm, as well as the willingness to handle difficult clients.
- Must be willing to seek out new methods and principles and be willing to incorporate them into existing facility rentals/event planning practices.
Physical Requirements:

- Must be able to sit, stand, bend, move intermittently throughout the workday.
- Must be able to speak and write the English language in an understandable manner.
- Must be able to cope with the mental and emotional stress of the position.
- Must possess sight/hearing senses or use prosthetics that will enable these senses to function adequately so that the requirements of this position can be fully completed.
- Must function independently, have flexibility, personal integrity, and the ability to work effectively with clients and personnel.
- Must be in good general health and demonstrate emotional stability.
- Must be able to lift, push, pull and move equipment, supplies, etc. in excess of 50 pounds.
- Must be able to assist in the evacuation of guests during emergencies.
