Job Description:
Assists with the planning and execution of CoBank events and provides support for administration of the corporate events team. Handles the planning and execution of high-profile events at CoBank Center. Manages relationships and contracts with event technology vendors. Responsible for data management, databases, reporting and building of meeting apps. Manages extensive Corporate Events inventory, including branding and marketing materials. Responsible for answering internal and external inquiries regarding events.
Essential Functions:1. Manages shipping, receiving, inventory and purchasing functions. Manages promotional/fulfillment house relationship and billing. Manages the CoBank Company Store.
2. Manages meeting application vendor relationship and builds meeting applications; partners with CoBank IT group to ensure application is available in App Store and Google Store.
3. Provides recruitment support by ensuring meetings are listed properly on cobank.com. Creates event online registration websites. Runs and delivers weekly registration reports on a timely basis.
4. Creates meeting materials such as evaluations, app, tent cards, and name badges, and ensures timely delivery to venue in advance of event.
5. Reviews rooming list comparisons to registration.
6. Coordinates attendee ground transportation needs.
7. Develop databases and utilize Tableau for data tracking, including survey data, speaker data, registration pace, hotel pickup pace, meeting data. Analyze data, with manager’s guidance, to improve future events.
8. Performs variety of tasks related to on-site and off-site meeting planning and preparation, including but not limited to management of online registration and email marketing software, responding to customer calls and emails, site selection, budgeting, food and beverage selection, booking audio visual, correspondence, other related meeting logistical details and on-site management.
9. Reviews and directs general departmental correspondence, including e-mail.
10. Identifies opportunities for efficiency and consistency through processes and procedures.
11. Availability for work outside of normal business hours up to 20% of the time.
- High school diploma or GED required
- Bachelor's Degree in business or hospitality preferred
2 years of relevant event coordinator or event planning experience in a corporate, association, agency or non-profit environment REQUIRED
1. Previous experience with managing small events, including demonstrated ability to make decisions and solve problems related to vendor management, creation and management of event budgets, managing registration, and customer and bank management requests and changes, with guidance from manager.
2. Ability to work collaboratively with team members and the department’s internal customers, including senior executives and other contacts across the bank.
3. Ability to think critically and prioritize and manage multiple tasks and projects.
4. Advanced organizational and time management skills and ability to work in a high-paced environment.
5. Excellent detail and customer service orientation, with the ability to meet high expectations for quality and service.
6. Excellent verbal and written communication.
7. Demonstrated skill in Microsoft Office applications (Outlook, Word, PowerPoint and Excel).
8. Previous experience with Access, Cvent, Survey Monkey, Tableau, Event Mobi preferred.
Occasional Travel occurs infrequently (typically, once a month or less).
About CoBank:The typical base pay range for this role is between $59,468 - $75,034. Compensation may vary based on individual job-related knowledge, skills, expertise, and experience. This position is eligible for a discretionary annual incentive program driven by organization and individual performance.
