About the Job
Emory College of Arts and Sciences is seeking a highly organized and detail-oriented Temporary Event Coordinator to support the Emory College Diploma Ceremony and other Commencement events. This position is a six-month assignment, responsible for managing various aspects of the Diploma Ceremony and coordinating with different stakeholders to ensure successful event execution.
The Event Coordinator will manage the ceremony registration process, collaborate with the New Student Programs team on key logistics, and serve as the primary day-of coordinator for Commencement.
Tasks include:
- Submit Work Orders
- Coordinate multiple stakeholder schedules
- Validate Names and data in MarchingOrder System
- Compile and edit programs and scripts
- Request and cross-check information from registrar
- Coordinate all instructions to volunteers
- Host Faculty Marshal Breakfast
- Represent the College at campus-wide event meetings and teams channels
- Coordinate walkthroughs with tech, stakeholders, and volunteers for Diploma
- Ceremony Edit and coordinate all printed collateral
- Ensure communication plans run smoothly
- Communicate with graduates, faculty, staff, parents
- Complete post-ceremony logistics including finance reports and debrief meetings
KEY RESPONSIBILITIES:
- Coordinates the logistics necessary to plan and execute conferences, meetings, and various types of special events for a school, department, or division.
- Interfaces with clients to plan events, and oversees their implementation.
- May conduct pre-event site/venue tours with potential clients.
- Recommends appropriate venue options based on the scope and specifications of the event.
- Liaises with catering vendors, Staging staff, and other parties participating in producing the event.
- Oversees domestic and/or international travel arrangements for event attendees.
- Acts as a primary day-of-event representative to the client before, during, and after event.
- Tracks and monitors event expenses; may oversee event billing and payment processes.
- Performs other related responsibilities as required.
MINIMUM QUALIFICATIONS:
- A high school diploma and four years of experience in planning, coordinating and conducting special events, or a Bachelor's degree.
PREFERRED QUALIFICATIONS:
- Bachelor's degree in a field related to the program.
- Two years of related experience, or an equivalent combination of education, training and experience.
NOTE: Position tasks are generally required to be performed in-person at an Emory University location. Remote work from home day options may be granted at department discretion. Emory reserves the right to change remote work status with notice to employee.
