Aurora is seeking a dynamic and organized Events Logistics Coordinator to join our growing team in our Austin office. This role will be responsible for planning and executing a variety of in-person and virtual events, including client roundtables, workshops, webinars, and annual conferences. Responsibilities will span from initial planning through day-of coordination, ensuring smooth and successful events throughout.
Reporting to the North America Marketing Manager, you will be an integral part of our Marketing team. The ideal candidate possesses excellent organizational skills, a flexible attitude, and a passion for event planning and coordination.

Key Responsibilities
- Organize in-person client roundtable meetings and workshops for up to 50 delegates. Responsibilities include liaising with venues, caterers, and other suppliers; coordinating with delegates and internal stakeholders; attending events to ensure smooth operations; and handling post-event activities.
- Coordinate webinars and virtual roundtable meetings. Responsibilities include scheduling pre-calls, managing day-of logistics, preparing recordings and attendance reports, and sharing outcomes with internal stakeholders.
- Coordinate logistics for large conferences in the US. Responsibilities include sourcing venues, liaising with external suppliers, budget oversight, managing registrations, and ensuring smooth day-of operations.
- Manage event calendar and work with internal stakeholders to ensure appropriate event coordination across all markets.
- Oversee all event data and reporting
- Act as the day-of logistics and operations contact at all our NORAM client events (requires domestic and some international travel).
What we are looking for
- Relevant work experience, preferably in organizing both in-person and virtual events or within a commercial environment
- Enthusiastic and energetic with exceptional attention to detail
- Excellent organizational and negotiation skills, with the ability to effectively manage multiple activities under tight deadlines
- Capable of multitasking and reprioritizing in a fast-paced, demanding environment
- Professional with excellent communication skills and ability to build relationships at all levels
- Self-motivated and capable of working both independently and as part of a team
- Proficient in PowerPoint, Word, and Excel
- Demonstrates a strong willingness to learn and develop professionally
- Familiarity with event platforms such as Zoom, Bizzabo, Stova or similar tools
