About the Job
The BRAC Events Manager plans, organizes, and executes a wide range of events, managing all logistics to deliver seamless and memorable experiences for attendees.
Responsibilities
Event Strategy & Execution – 60%
- Create innovative event themes that align with event objectives and attract target audiences
- Oversee the design and execution of events, including layout, flow, lighting, décor, menu, entertainment, and signage, for a diverse range of events and programs
- Develop and manage BRAC’s annual event schedule to ensure strategic planning and optimal resource allocation
- Lead the logistics and coordination for familiarization tours aimed at showcasing the Baton Rouge Area to business prospects
- Manage event registration processes using BRAC’s CRM/events management software
- Select, negotiate with, and oversee vendors
- Coordinate and manage staffing needs for event execution, including recruiting and assigning duties to staff and volunteers
- Provide internal support and collaboration for all departments' event-related activities
Budgeting – 20%
- Develop event budgets and manage income and expenses
- Develop sponsorship packages with the Investor Relations team
- Review invoices for accuracy and process for payment
Event Marketing & Communications – 10%
- Collaborate with the marketing team to create compelling event marketing materials
- Maintain and update event information on the BRAC website and other relevant platforms
- Collect and analyze data on event attendance and engagement to refine future marketing strategies
- Maintain clear and consistent communication with event stakeholders, including vendors, sponsors, and attendees
- Manage post-event communications, including thank-you messages and feedback surveys
Guest Services - 10%
- Assist guests with event registration and check-in processes
- Address and resolve any guest inquiries or issues promptly and effectively
- Ensure that guests receive accurate information about the event schedule, location, and other relevant details
- Provide on-site support and assistance to guests throughout the event
- Collect and incorporate guest feedback to improve future events
Other duties as assigned.
Qualifications
- Prior event management experience preferred
- Strong project management skills with the ability to handle multiple tasks and deadlines
- Proven ability to develop and manage event budgets
- Excellent negotiation skills for selecting and managing vendors
- Exceptional written and verbal communication skills
- Creative thinking and problem-solving abilities to develop innovative event themes and solutions
- Ability to follow processes, work effectively on a team, and maintain a positive attitude
- Availability to work after regular business hours, including evenings and weekends, to ensure the successful execution of events and provide exceptional on-site support
