Responsibilities:
Job Purpose
The Office Assistant is responsible for providing administrative services by answering phones, directing calls and assisting with all aspects of office duties. Office Assistants enjoy working in a fast-paced environment while interacting closely with clients and guests. Working closely with the Event Sales Director(s) and Manager(s), the Office Assistant enjoys solving problems while ensuring client and guests receive a memorable experience.
Responsibilities
- Provide customer service to members and guests in person and on the telephone by helping with information, directions, etc.
- Answer incoming calls, transfer calls and take messages as needed
- Manage Club social media platforms with events related content
- Contribute creative input for in-house marketing & promotional events
- Assist Sales Department by preparing and processing daily deposits and receipts
- Assist other departments by performing various duties including making signage, directing guests, updating scheduling calendars, forecasts, and directing members and guests
- Maintain an orderly work area by organizing workspace and maintaining general supplies
- Acknowledge, greet and thanks all members and guests
- Act as Club representative during pre-wedding rehearsals and day-of event support. Day-of event support as timekeeper and manager of event flow from ceremony to reception
- Responsible for overseeing and executing coordination for events including weddings.
- Must be available for rehearsals and day-of events including evenings and weekend.
- Maintain customer service standards during events and provide assistance as needed.
- Ensure client satisfaction by establishing a close working relationship prior to and during the event; addressing host questions or concerns; attending event and being available to accommodate the needs of guests; referring any participant grievances to Event Manager.
- Implement and support all American Golf initiatives and programs as requested by management
- Other duties may be assigned by management
Qualifications
- Ability to operate computer, copier, fax and postage machine
- To perform this job successfully, an individual should type 45 words per minute
- Valid driver’s license is required
- Administrative and Social Media Experience
- Excellent customer service orientation and a focus on customer satisfaction is required
- Proficient in computer software including Microsoft Word, Excel and Canva
- Basic math skills to calculate figures, percentages, etc. required
- Ability to communicate effectively with clients, co-workers and management required
- Solid time management, organization and prioritization skills, ability to work with little or no direct supervision
Education
- High school diploma required (2-Year college degree preferred) or equivalent combination of education and experience

Compensation
