Description
As the Office Manager, you will play a crucial role in ensuring the smooth and efficient operation of our office. You will be responsible for overseeing administrative functions, managing office staff, and supporting our caregivers in delivering exceptional care to our clients. The ideal candidate will have a minimum of 2 years of experience in office management, preferably in the home care or healthcare industry.
Responsibilities:
- Manage day-to-day operations of the office, including scheduling, billing, and payroll processing
- Provide staff training, support, and guidance as needed.
- Coordinate client intake processes.
- Maintain accurate and up-to-date client records and ensure compliance with regulatory requirements
- Handle inquiries and resolve issues from clients, caregivers,, and any front desk inquiries in a professional and timely manner
- Collaborate with management team to develop and implement policies, procedures, and best practices to enhance office efficiency and client satisfaction
- Assist with marketing and business development activities to grow our client base and expand our services in the community
Administrative Management: Coordinate and supervise office staff, ensuring efficient workflow. Manage office supplies, equipment, and facilities. Handle correspondence, phone calls, and emails. Maintain organized filing systems and databases.
Human Resources: Recruit, and train staff. Conduct performance reviews and provide feedback. Manage employee schedules and time off. Ensure compliance with employment regulations and policies.
Financial Management: Assist in budget preparation and monitor expenses. Handle payroll processing and timekeeping. Manage billing and invoicing processes. Collaborate with accounting or finance departments.
Client and Caregiver Coordination: Communicate with clients and their families to address concerns or inquiries. Coordinate caregiver schedules and assignments. Ensure proper documentation of client care plans and records.
Regulatory Compliance: Stay updated on industry regulations and compliance requirements. Ensure the agency adheres to local, state, and federal regulations. Prepare for and participate in audits or inspections.
Quality Assurance: Implement and monitor quality assurance programs. Address and resolve any issues related to service quality. Collaborate with healthcare professionals to improve care standards.
Technology and Systems: Oversee the implementation and use of technology systems for efficient operations. Train staff on relevant software and tools. Troubleshoot and address any technical issues.
Communication: Foster effective communication within the office and with external stakeholders. Attend meetings and provide regular updates to management. Collaborate with other departments for seamless coordination.
Emergency Response and Crisis Management: Develop and implement emergency response plans. Coordinate crisis management efforts, ensuring the safety and well-being of clients and staff.
Continuous Improvement: Identify areas for improvement in processes and implement changes. Stay informed about industry trends and best practices. Contribute to strategic planning for the agency's growth and development.
Qualifications:
- Associate degree in business administration, healthcare management, or related field preferred
- Minimum of 2 years of experience in office management, preferably in the home care or healthcare industry
- Strong organizational skills and attention to detail
- Excellent communication and interpersonal skills
- Proficiency in Microsoft Office Suite and other relevant software applications
- Ability to work independently and as part of a team in a fast-paced environment
- Compassionate and empathetic attitude towards clients and caregivers
- Valid driver's license and reliable transportation
