Position Overview:

We are seeking a highly organized, proactive, and detail-oriented Executive/Administrative Assistant to support our executive leadership team. This role is pivotal in ensuring smooth and efficient day-to-day operations within our organization. The Executive/Administrative Assistant will provide comprehensive administrative support to senior management and work closely with various departments to ensure seamless communication and collaboration across PrimeCare Medical, Inc.

Key Responsibilities:

• Manage executive schedules, including coordinating meetings, appointments, travel arrangements, and conference calls.

• Prepare and edit documents, presentations, reports, and correspondence for senior management.

• Serve as a liaison between the executive team and internal/external stakeholders, ensuring clear and effective communication.

• Assist in the preparation of meeting agendas, take meeting minutes, and follow up on action items.

• Handle confidential and sensitive information with discretion, maintaining professionalism at all times.

• Perform administrative tasks, including answering phone calls, handling mail, and managing office supplies.

• Coordinate and manage special projects as directed by the executive team, ensuring deadlines are met.

• Support the Human Resources department with scheduling interviews, maintaining employee records, and assisting with onboarding.

• Prepare and organize materials for internal and external meetings and events.

• Assist in organizing company-wide communications and provide logistical support for company events and employee recognition programs.

• Monitor and prioritize executive emails, responding on behalf of executives when appropriate.

Qualifications:

• High school diploma or equivalent (Associate or Bachelor’s degree in Business Administration or related field is a plus).

• Proven experience as an Executive Assistant, Administrative Assistant, or similar role, preferably in a healthcare or corporate setting.

• Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and the ability to learn company-specific software.

• Excellent written and verbal communication skills with a professional demeanor.

• Exceptional organizational and multitasking abilities, with a strong attention to detail.

• Ability to handle high-pressure situations with professionalism and calmness.

• A high degree of discretion when handling confidential information.

• Strong problem-solving skills and a proactive approach to work.

• Experience in healthcare administration is a plus but not required.
